Job Description

Admissions Operations Specialist Posted on 9/15/2026 Accepting applications About this position The Admissions Operations Specialist is responsible for establishing, updating, and maintaining accurate computer data for student records, credential processing, data entry and clerical duties required to support the activities of the Admissions Office though timeliness, efficiency and data integrity.
ESSENTIAL FUNCTIONS
Managing electronic records and data related to prospective students in admissions CRM (Slate). Perform daily data imports/exports between admissions CRM (Slate) and campus SIS (Jenzabar EX) and serve as a liaison with other campus departments to ensure data flow integrity between admissions CRM and other campus systems. Maintain data integrity by performing regular comprehensive data auditing and cleanup (including but not limited to: email opt outs, phone number checks, address verification, source codes, entry year and terms). Administer Common Application set-up, testing and data retrieval (prospects, applicants, and credentials). Perform SAT/ACT electronic score imports along with processing paper test scores. Review and maintain duplicate record management procedures in admissions CRM. Perform and control data imports (including but not limited to: enrollment forms, financial aid data, college fair leads, NRCCUA, CAPPEX, PC&U, Common Application, purchased data, test scores, data translation in student information system, visitor information). Manage data import/export process into prospective student text messaging system. Work to increase effectiveness of processes and systems in regards to enrollment (database testing, new technology initiatives, and data imports). Promote timeliness, efficiency, and data integrity within the overall admissions process. Review and document data flow and operational processes for ongoing training and support. Maintains document flow and accountability by collecting, scanning, recording and indexing incoming forms and letters to the student records for daily file updates. Assist in office routines including answering telephone, greeting visitors and support during campus event programs. Contribute to the success of the department by performing all other duties as needed to drive the vision, fulfill the mission, and abide by the values of the College. About our ideal candidate High school diploma or equivalent required; Bachelor's degree strongly preferred. Strong familiarity with operational database and CRM systems. Three years of CRM and college admissions experience preferred. Must be able to maintain confidentiality and abide by all federal and state laws concerning student records. Must be process-driven with the willingness and ability to learn new systems, and become a technical expert. Must possess high level of initiative and ability to work independently. Ability to communicate effectively, both verbally and in writing, with employees at all levels of the institution and appropriately address needs and concerns. Strong organizational skills and proficiency using Microsoft Office, including demonstrated high level proficiency with Excel and other applicable software programs. Outstanding attention to detail and accuracy. Able to think critically and analytically in order to troubleshoot issues and solve problems. Able to think quickly, remain flexible, and multitask to manage a diverse set of responsibilities and adjust to changing priorities.
PHYSICAL DEMANDS
The position is primarily sedentary and office-based, with most work performed while seated at a computer and engaging in keyboarding, data entry, record review, and other clerical activities. The position requires frequent use of hands and fingers for keyboarding, mouse operation, handling documents, and operating standard office equipment. The employee may be required to sit for extended periods, with periodic standing, walking, reaching, bending, or stooping to access files, supplies, printers, or other office equipment. The position may occasionally require lifting, carrying, or moving light office materials, files, or supplies, generally weighing up to approximately 10-20 pounds. The position requires sufficient visual acuity and attention to detail to review computer screens, documents, records, and other written materials accurately. Frequent communication with coworkers, students, and others may require the ability to speak and hear effectively.
WORKING CONDITIONS
The position may involve routine exposure to typical office noise, computer equipment, telephones, printers, and other office machinery. Occasional movement throughout campus may be required to attend meetings, retrieve or deliver documents, or perform other administrative duties. The work environment is generally low risk, with no anticipated routine exposure to hazardous materials, extreme temperatures, or other unusual environmental conditions.
PERSONAL PROTECTIVE EQUIPMENT
Personal protective equipment (PPE) is not routinely required for this position. In limited circumstances, PPE may be required in accordance with institutional safety procedures, public health guidance, or specific school activities or events.
