Enrollment Coordinator The Waldorf School on the Roaring Fork is seeking candidates to serve as a full time Enrollment Coordinator Enrollment Coordinator Waldorf School on the Roaring Fork | Position Description The Waldorf School on the Roaring Fork (WSRF) seeks an Enrollment Coordinator to help families discover, understand, and ultimately find belonging at WSRF. This highly relational and outward-facing role guides families from their first introduction to the school through inquiry, enrollment, belonging, and re-enrollment, while actively building awareness of WSRF and Waldorf Education throughout the Roaring Fork Valley. Our mission is to inspire the spirit of the child and elicit academic excellence through educational artistry. We steward enrollment to create a diverse and thriving community where every child can be known in their Being, experience Belonging, and be supported in their Becoming. Enrollment decisions also require care for healthy classes, excellent teaching, and the enduring mission of the school. The Enrollment Coordinator serves as a welcoming and reliable point of contact for families. Working with teachers, Student Support, and the Administrative Council, they coordinate a thoughtful process that considers the child's needs, the family's understanding of WSRF, the health of the class, and the school's capacity to provide support. The Coordinator organizes and communicates that process; enrollment decisions are made collaboratively by the appropriate school team. Responsibilities Guide the family journey Respond warmly and promptly to inquiries by phone, email, and in person; maintain clear communication about next steps and timelines. Help families explore Waldorf education, WSRF's mission and values, and what daily learning looks like from early childhood through eighth grade. Coordinate each stage of the enrollment journey: A thoughtful path from curiosity to community. We get to know each child through immersion, make a thoughtful enrollment decision, and support their first six weeks in the community. Arrange tours, classroom visits, teacher meetings, parent education events, and other opportunities for families to experience the school. Ensure that families receive a clear, respectful explanation of decisions and next steps. Support thoughtful enrollment decisions Gather and organize the information teachers and school leaders need to understand a prospective student's developmental readiness, learning disposition, support needs, and experience during a visit or immersion. Help the team consider class size and composition, class ecology, teacher and Student Support capacity, and the potential fit between the child's needs and the school's offerings. Document the process consistently while protecting student and family confidentiality. Notice questions or concerns early and bring them to the appropriate people for collaborative reflection. Avoid making promises about placement or support before the school has completed its review. Build belonging and support retention Coordinate a welcoming transition for newly enrolled families, including introductions, essential information, and the six-week introductory check-in. Listen to family experiences and help connect families with teachers or administrators when questions arise. Coordinate re-enrollment communication and timelines with the Administrative Council. Track patterns in inquiries, enrollment, retention, and exits to help the school learn where families feel connected and where the experience needs attention. Grow Community Awareness and Enrollment Proactively build relationships throughout the Roaring Fork Valley to increase awareness of WSRF and generate prospective-family interest. Represent WSRF at community events, fairs, festivals, and other outreach opportunities; coordinate and staff information tables and community-facing events. Develop relationships with local employers, healthcare organizations, relocation resources, real estate professionals, childcare providers, community organizations, and other partners who regularly connect with families moving to or living in the valley. Identify opportunities for WSRF to be included in employee recruitment and relocation materials, community resource guides, and other channels that reach prospective families. Work collaboratively with the Community Development Administrator on enrollment marketing, messaging, campaigns, events, and materials. Maintain an enrollment-minded lens across school communications and community engagement, identifying opportunities to tell the WSRF story and reach new families. Track the sources of inquiries and applications to understand which outreach and marketing efforts are generating meaningful enrollment interest. Steward Enrollment Systems and Data Steward enrollment systems and data Maintain accurate and up-to-date inquiry, application, enrollment, and re-enrollment records, ensuring timely follow-up and completion of each step in the enrollment process. Manage enrollment timelines, deadlines, documentation, and family communications in coordination with faculty and administration. Track enrollment data, including inquiries, applications, acceptances, enrollment, retention, attrition, and available space by class. Track inquiry sources and enrollment conversion patterns to help evaluate the effectiveness of outreach and marketing efforts. Prepare clear, useful enrollment and retention reports for school leadership and the Board to support planning and decision-making. Maintain strong data integrity and appropriate confidentiality of student and family information. Identify opportunities to improve enrollment systems, workflows, and communications to create a more efficient process and a better experience for prospective and current families. Qualifications Warm, clear, and professional communication with children, families, faculty, and colleagues. Comfortable initiating relationships, representing the school publicly, and engaging confidently with individuals, businesses, and community organizations. Demonstrated ability to build relationships and create new opportunities through community outreach, networking, or partnership development. Strong organizational skills, sound judgment, and careful attention to records, timelines, and confidentiality. Strong communication and storytelling skills, with an instinct for how messaging, events, and community visibility can support enrollment. Ability to coordinate several steps and people while keeping each family's experience personal and coherent. High proficiency in managing digital tracking systems, maintaining data integrity, and meeting enrollment targets Experience in school enrollment, admissions, family engagement, or school administration preferred. Knowledge of Waldorf education preferred; willingness to learn and communicate WSRF's educational approach essential.
