Job Purpose :
To coordinate and maintain effective office procedures and efficient work flow; enhance administrative and program effectiveness. Experience & Knowledge High school diploma Experience in and knowledge of the community Computer skills - word processing, data bases, spread sheets, etc. Skills and Abilities Ability to communicate effectively with internal and external customers on the telephone and in person in a tactful, friendly and cheerful manner Verbal, written and technological communications skills, including the ability to record with clarity and promptness Ability to develop and maintain professional relationships with individuals from various cultural, ethnic and racial backgrounds Effective in planning and arranging work responsibilities including determining priorities, managing multiple projects, handling deadlines and changes in priorities Ability to identify and use community resources Ability to maintain confidentiality with regard to clients and agency business Maintains poise and self control even under extreme stress and unexpected crises; handles delicate situations tactfully Appropriately assertive even in difficult situations Assumes responsibility for own learning Professional and responsible about all aspects of work and makes good use of time Must have excellent interpersonal skills and be receptive to new ideas Core Values of Staff Compassion. Principal Duties & Responsibilities:
Ensures flow of services by Answering the phone in a courteous and respectful manner Screens all walk-in's and calls for program eligibility Conducts assessment of eligibility before referring to case manager Greeting all visitors Demonstrating a positive attitude through work and action Keeping information confidential Maintains database by Accessing, inputting and retrieving information daily to computer Following prescribed procedures Tracking client contact and group attendance Conserves management's time by Assisting Director and Program Managers in special projects (grants, fund development, etc.)as well as general clerical duties Collecting, analyzing, scanning, summarizing information and reports Maintains professional competency by Participating in continued education and personal growth experiences Establishing personal networks Contributes to team effort by Accomplishing related results as needed Maintenance of a flexible work schedule Maintains safety of clients and staff at all times by: Complying with agency procedures, rules and regulations Performs other duties as related to the position and as assigned Work non-traditional hours and/or alternate schedule during special projects or to meet agency deadlines
