Full-time (40 hours per week, 52 weeks per year), on campus in-personSummary/Objective:
Reporting to the AVP of Enrollment Operations, Admissions Operations Specialist supports the operational and data-management functions of the Office of Admissions. This position is responsible for timely and accurate processing of admissions materials, maintenance of applicant records, support of CRM and student information system workflows, and continuous improvement of admissions processes. The specialist works closely with admissions counselors to ensure an efficient, accurate, and student-centered admissions experience. Duties and Responsibilities Process, scan, index, upload, and verify application materials, including transcripts, test scores, recommendations, and other admissions documents. Maintain accurate applicant and prospect records in the admissions CRM, Element451, student information system, Ellucian Colleague, and document warehouse, Softdocs. Review records for missing, duplicate, incomplete, or inconsistent data and resolve discrepancies. Support application completion, decision release, admission packet preparation, and enrollment communication workflows. As needed, monitor shared admissions email accounts, phone inquiries, and mail processes, routing inquiries as appropriate. Run queries, reports, or lists to support admissions operations, recruitment communication, application review, and enrollment planning. Assist with data imports and exports from vendors, application platforms, CRM systems, and institutional systems. Maintain documentation of admissions operations procedures and recommend improvements to workflows. Collaborate with admissions counselors and other campus partners as needed. Ensure compliance with institutional policies, data privacy standards, and student-record confidentiality expectations. Perform other duties as assigned. Qualifications- Associates degree and two or more years of experience in higher education preferred or a combination of education and experience from which comparable knowledge and skills are acquired.
- Ability to learn and use CRM, student information, document-management, and reporting systems.
- Strong attention to detail, accuracy, organization, and follow-through.
- Ability and willingness to support the mission of Rivier University and the department in all daily activities.
- Must have strong organizational skills and ability to anticipate needed resources and information to see projects to successful conclusion.
- Working knowledge of computers-both enterprise and PC including but not limited to word processing, database programs, and spreadsheets.
- The position requires independent initiative, judgement, the ability to handle confidential records, ensuring compliance with FERPA regulations, and accurate data entry
- Demonstrated ability to prioritize work and make workflow decisions independently While performing the duties of this job, the employee is regularly required to talk or hear, as well as extensive typing and computer work.
