Position Overview:
The Center Enrollment Specialist is a customer-focused team member dedicated to supporting the enrollment process at the center level. This role ensures that every prospective family receives an exceptional first impression, timely follow-up, and a seamless tour and registration experience. Working closely with the Center Director, this position helps drive enrollment growth through excellent communication, organization, and service.
Key Responsibilities:
Lead Management & Family Communication Serve as the first point of contact for inquiries via phone, email, and walk-ins Enter and update leads in the CRM system and maintain accurate records Promptly follow up with all prospective families to schedule tours and answer questions Tour Coordination & Support Prepare for and conduct tours when needed, or assist the Director with tour scheduling and materials Ensure the center is tour-ready, clean, and welcoming at all times Provide enrollment packets and help families complete required forms Administrative Enrollment Support Track and report enrollment pipeline weekly to the Center Director Assist with sending out welcome emails, enrollment confirmations, and orientation materials Manage tour calendars, event sign-ups, and promotional items Event Support & Community Outreach Plan, coordinate, and execute enrollment-focused events such as open houses, community days, family fun nights, and seasonal themed events to attract and engage prospective families. Partner with the Center Director to develop and implement Local Area Marketing (LAM) initiatives, including visiting local businesses, attending community fairs, connecting with neighborhood parent groups, and networking with pediatricians and family-oriented businesses to generate leads. Create promotional materials such as flyers, social media posts, sign-in sheets, and event invitations with guidance from the Center Director, ensuring materials align with brand standards and current enrollment campaigns. Engage warmly with attending families during events, providing information about the center's programs, capturing contact information, and addressing questions to encourage tour scheduling. Collect, track, and enter lead information from events into the CRM system promptly, ensuring timely follow-up and clear communication with prospective families. Collaborate with the Director to evaluate event effectiveness, including attendance, lead generation, and conversion outcomes, and adjust strategies for future events based on results. Actively seek opportunities for the center to participate in or sponsor community events to increase visibility and drive qualified leads into the enrollment pipeline.
Qualifications:
1-2 years of experience in customer service, sales, or administrative support in childcare Friendly, professional demeanor with strong communication and follow-up skills Detail-oriented and highly organized Comfortable using email, phone systems, and CRM tools (training provided) Able to work flexible hours, including evenings or weekends for events Benefits of joining our team full time: • Flexible schedules!
