DEFINITION
Responsible for the efficient and responsible operation of the front office area.
SUPERVISION
Position is supervised by the Practice Clinic Manager.
ESSENTIAL JOB FUNCTIONS INCLUDE, BUT ARE NOT LIMITED TO
Staff will be expected to provide excellent consumer service by providing a warm and welcoming environment for all consumers, visitors and staff and appropriately offering consumers timely access to clinical staff to meet any immediate needs. Staff will abide by the agency policy on confidentiality at all times and respect the integrity and confidentiality of all consumer related information. Staff will be responsible for following all safety and administrative procedures. Staff will be responsible for immediate response to incoming calls and routing calls to appropriate staff. Staff must read, acknowledge, and abide by the accounting cash/check handling procedures for all monies collected and will be responsible for complying with all cash handling and accounting procedures. Staff will be responsible for all tasks involved in closing and opening the front office as scheduled. Staff will maintain the following for General Pershing location: proxy card list, panic button list, adequate supplies and inventory for office functions, phone list, and room schedules. Staff will prepare and disseminate agency mail and deliveries. Staff will review and prepare consumer records prior to scheduling/service delivery to ensure the services provided will be compensable. Staff may be asked to perform other duties as required and/or assigned by supervisor and/or Executive Staff and will be responsible for notifying the supervisor of any training deficiencies that impair the ability to perform his/her duties.
POSITION REQUIREMENTS
Position requires a high school diploma, (1) years of experience in office management, consumer scheduling, commercial insurance (Medicare/Medicaid/private insurance/etc.) and various daily clerical operations preferred. Position requires one (1) year of experience in the operation of a similar telephone system and intermediate data entry skills. Must display proficiency in the in the use of Microsoft Office software, or equivalent and intermediate general computer skills. Must be able to bend, stoop, climb stairs, move about facilities freely, must have upward and downward mobility for filing, and finger dexterity to operate office equipment. Must be able to sit for extended periods and have excellent speech and hearing to communicate face-to-face and by telephone. Must be able to multi-task and stay organized while working with frequent interruptions. Must maintain an organized work area and must follow through on assigned tasks. Must possess and use daily professional communication skills, verbally and in writing. Must be able to comprehend and interpret verbal and written instructions. Must demonstrate good interpersonal skills and the ability to effectively communicate verbally with English-speaking patients. Employee must have excellent written and oral communication skills. Must be able to move about facilities freely. Casual professional dress is required with adherence to dress code requirements. Must complete all NorthCare required training within 30 days of employment with NorthCare. Must have TB test within 12 months prior to employment with NorthCare or obtain within 30 days of employment with NorthCare.
