The Administrative Specialist would work up to 18 hours per week, Monday- Friday, performing billing, credentialing and other administrative duties in an expanding group private practice. As we continue to grow so would the potential to increase hours worked.
Credentialing and Contracting Management Onboarding Documents:
Welcome new clinicians and gather all required background documents, credentials, and information prior to their official start date.
Maintain Credentials:
Complete and maintain clinicians' credentialing applications for all contracted insurance panels.
Licensure Organization:
Assist in compiling, tracking, and organizing ongoing clinician licensure information and renewals.
Timely Submissions:
Complete all designated contracting or provider credentialing tasks efficiently to prevent gaps in provider billing.
Issue Resolution:
Assist in resolving collections, denials, or billing bottlenecks specifically related to provider credentialing or contracting errors.
Client Intakes and Daily Operations Inbound Management:
Field incoming intake calls and emails, answering potential client inquiries and accurately scheduling intake appointments with the appropriate therapist.
EHR Management:
Keep the Electronic Health Record (EHR) client files strictly organized, tracking and managing the intake paperwork collection process.
Insurance Verification:
Verify insurance eligibility and specific mental health benefits for incoming and ongoing clients.
Client Relations:
Create a warm, welcoming experience for new clients seeking therapy information, and resolve collection balances in a supportive, empathetic manner.
Communication:
Maintain constant, clear communication with the clinical team regarding scheduling updates and return all client or provider inquiries within the same business day. Attendance and Reliability (Essential Function)
Operational Reliability:
Must maintain regular, predictable, and punctual attendance to ensure consistent department coverage, minimize operational disruption, and meet strict client-facing service level agreements.
Experience and Education Industry Experience:
Minimum of one (1) year of direct experience handling credentialing and medical insurance-related activities. Experience working specifically within a mental health-related field is highly preferred.
Regional Knowledge:
Active, working knowledge of credentialing processes for commercial, EAP, and Medicaid-based insurance plans within the state of Kentucky.
Education:
Associate degree or higher preferred.
Language:
Must be able to read, write, and communicate professionally in English. Core Competencies Highly organized with extreme attention to detail.
