Full salary range for this position is $47,280.00 - $61,512.00 annually. Please note that initial salary placement for this position is typically between $51,900.00 - $54,432.00 (Steps E-G). As a Program Specialist 2, you will be responsible for being a key member of the Enrollment Services team that provides services to students for them to succeed and meet their educational goals. In this role, you will be primarily responsible for assisting with the daily registration, record maintenance, and admission application operations of the apprenticeship program. This position will be working in a multi-tasking environment and correspond with onsite and offsite apprenticeship students, apprenticeship partners, instructional staff and faculty, academic advisors, general students, and main campus staff. This position is typically scheduled to work Monday through Friday at the Georgetown campus and South Seattle College main campus. The schedule may vary depending on department needs. May be required to work evenings and weekends as needed to support department needs, college events, and student enrollment activities This position may work a hybrid schedule of both remote and on-site work depending on department and division needs This position is governed by a collective bargaining agreement with representation by WFSE and subject to union shop provisions. What you will be working on: Program Specialist Responsibilities Primary liaison for student and program contact, admissions processing, registration, and troubleshooting enrollment issues for the apprenticeship and pre-apprenticeship programs. Work with apprenticeship partners and faculty as it pertains to completing and troubleshooting grade rosters. Communicate with faculty and Associate Director of Enrollment Services on a quarterly basis to provide detailed explanation of class rosters, grading, and incompletes. Foster and maintain relationships with college, community, and apprenticeship partners who provide services that support student enrollment. Effectively prioritizes responsibilities based on deadlines and needs of the department, college, and/or district. Enrollment Services Team Support Respond to student, staff and faculty inquiries via in-person, email, phone calls, and voicemails. Support Georgetown and main campus Enrollment Team customer services operations and drop-in support for students. Address and troubleshoot tuition waiver issues. Utilize computer software and technology including but not limited to a Student Management System (ctcLink), online application systems, Microsoft Office, OnBase, Seattle Colleges systems, and National Student Clearinghouse to complete functions in admissions, registration, and enrollment services. Advise students, staff, faculty, and the public on information related to registration, records, and admissions processes. Maintain student records according to State and Federal law and policy including retention, data privacy and appropriate disposal of hard copy documents. Serve as a resource to college staff on records retention schedules data integrity and proper destruction of documents. Interpret and apply policies and procedures that provide the effective operations of Enrollment Services in compliance with federal, state, and institutional regulations. Respond to requests for educational records by determining legitimacy and meet strict guidelines for Federal student confidentiality laws. Support general registration and records functions, such as processing all enrollment related forms, late grades, student term activation, enrollment transactions, grade changes, grade re-computations, names changes, identity verification, and more. Develop and provide students, staff, and faculty a list of important registration dates as it pertains to apprenticeship and pre-apprenticeship programs. Assist with collecting, compiling and reporting program data to include identifying program accomplishments, challenges and opportunities. Prepare/review training materials and procedures related to the position's essential functions for Peoplesoft as directed by the Enrollment Services leadership Team. Independently troubleshoots questions, concerns, and complaints within college policies and procedures while collaborating with leadership and college personnel as needed. Keeps supervisor(s) and program staff informed of issues as needed. Support Student Services Division in activities, events, and programming that support student enrollment, retention, and graduation. May require weekend, evening, work as needed. Perform special projects and related duties as assigned. May supervise one or more part-time staff members and/or student workers. What you bring as a candidate: High School diploma with 4 years work experience in higher education, customer service, or roles with responsibility for records and/or data maintenance OR Associates degree or higher with 2 years work experience in higher education, customer service, or roles with responsibility for records and/or data maintenance. Demonstrated commitment, ability and experience working with persons from diverse ethnic, economic and academic backgrounds. Demonstrated ability to research and investigate academic issues that relate to student registration, records, and credentials. Evidence of ability to interpret detailed information, trouble-shoot academic and systems issues. Experience enforcing policies, rules, and regulations as it relates to the position. Advanced knowledge and ability to use Microsoft products, including Outlook, Excel, Word, SharePoint, and Forms. Evidence of ability to work independently within a multi-task environment. Excellent verbal, listening, and written communication and customer service skills. High attention to detail, excellent problem-solving skills, and the ability to work collaboratively with unit team members and all areas of the college. Exhibit strong problem-solving skills and experience, including identifying and resolving problems and implementing solutions. Detail-oriented with a focus on qualitative outcomes.
