The Referral Specialist is Admore Behavioral Therapy's primary engine for new client acquisitions. This is not a marketing coordinator role — it is a relationship-driven, field-based business development position responsible for building and sustaining the referral partner network that fills Admore's clinical pipeline with qualified, service-ready clients. The Referral Specialist owns the full referral cycle: identifying and cultivating new referral sources, activating dormant partners, converting inbound referrals into enrolled clients, and tracking performance data that informs Admore's marketing investment decisions. This role sits at the intersection of business development, client services, and clinical operations. The Referral Specialist must understand Admore's service offerings deeply enough to position them accurately to every type of referral source — from a school counselor to a hospital social worker to a pediatrician — and must be organized enough to manage a portfolio of dozens of active partner relationships simultaneously while tracking every referral through to enrollment. This position is a critical revenue function. Every enrolled client begins with a referral, and every referral relationship is an asset that requires active management. The Referral Specialist is measured not on events attended or materials distributed, but on referrals received, intakes completed, and clients enrolled. This is a doer role in the field. Success is measured by referral volume, partner activation, and enrollment conversion — not activity. The Referral Specialist is Admore's most visible external representative and the first impression for most referral partners and prospective clients. The Referral Specialist is Admore's most visible external representative and the first impression for most referral partners and prospective clients. Key Responsibilities 1. Referral Partner Development & Relationship Management Build and manage a portfolio of active referral partners across a specifically assigned market/geographic area: primary care physicians, pediatricians, hospital referral/discharge coordinators, school social workers, school counselors and diagnosticians, probation officers, CPS caseworkers, courts, churches, community centers, domestic violence shelters, transitional housing programs, and other community organizations serving non-overlapping populations. Execute a structured weekly outreach schedule: conduct in-person partner visits, lunch-and-learns, office drop-ins, and warm introductions to Admore's services at a minimum of 8-10 unique referral partner contacts per week. Maintain a current, segmented referral partner database in
Admore's CRM:
track each partner's referral history, last contact date, preferred contact method, and next scheduled outreach; no partner should go more than 30 days without a documented touchpoint. Identify dormant partners (no referral in 60+ days) and execute a structured re-engagement campaign; present re-engagement results to the Referrals Manager monthly. Add a minimum of 2-3 new qualified referral partners to the active network each month; document the source, outreach approach, and first referral date for each new partner. Develop and maintain a deep understanding of each referral partner's population, workflow, and referral decision process; tailor Admore's value proposition and materials to match the specific context of each partner type.
Build reciprocal relationships:
identify resources, referrals, and value Admore can provide to partners; position Admore as a genuine community partner, not simply a recipient of referrals. Represent Admore at community events, partner meetings, coalition round tables, and stakeholder engagements; maintain a schedule of relevant community events and ensure Admore has a presence at the highest-value opportunities each month. 2. Referral Intake, Tracking & Enrollment Conversion Serve as the first point of contact for all inbound referrals received through partner channels; respond to every referral within one business day of receipt with a documented acknowledgment and next-step plan. Collect and record complete referral information: referring source, client demographics, insurance, presenting need, and urgency level; enter all data into Admore's CRM and coordinate the warm handoff to the Intake Specialist within 24 hours.
Own the referral-to-intake conversion process:
follow up with the Intake Specialist to confirm that referred clients are being contacted promptly and that barriers to completing intake are identified and resolved. Track every referral from receipt through intake, enrollment, and first service contact; maintain a real-time referral pipeline log that shows status for every open referral at any given moment. Conduct structured follow-up with referring partners after each referral: confirm receipt, communicate intake status (with client consent), and close the loop to reinforce the partner's confidence in referring to Admore. Identify referrals that stall or do not convert to intake; investigate the root cause (client declined; client did not respond, insurance barrier, etc.) and communicate findings to the Referrals Manager to inform process improvements. Ensure that the referral data in the CRM is accurate, current, and complete at all times; this data feeds directly into the marketing effectiveness model and monthly leadership reporting. 3. Service Knowledge & Clinical Positioning Develop and maintain a thorough working knowledge of every service Admore offers: routine case management (T1017), intensive case management, skills training (H2014), talk therapy, medication management, and telehealth options; understand which services are available to which populations under which insurance types. Accurately explain Admore's services, eligibility requirements, insurance acceptance (Medicaid, STAR, CHIP, MCOs, commercial), and intake process to referral partners and prospective clients in clear, accessible, non-clinical language. Prepare and deliver presentations about Admore's services to partner offices, school staff, agency teams, and community groups; tailor each presentation to the audience's specific population and referral context. Stay current on changes to Admore's service offerings, insurance contracts, authorization requirements, and intake capacity; communicate service availability and waitlist status to referral partners proactively to prevent mismatched referrals. Position Admore's bilingual (English/Spanish) capabilities, community-based service model, and Medicaid acceptance as primary differentiators with the referral sources most likely to serve Spanish-speaking and Medicaid-eligible populations. Collaborate with the Intake Specialist to understand the most common reasons inbound referrals do not convert; use this insight to set better expectations with referral partners upstream and reduce mismatched referral volume. 4. Marketing Materials, Collateral & Digital Presence Support Maintain, and distribute Admore's referral-facing marketing materials: service brochures, referral process one-pagers, intake instruction cards, and provider-specific leave-behinds; ensure all materials are current, accurate, and professionally presented. Coordinate with leadership to develop new materials when service lines change; new populations are added, or gaps in existing collaterals are identified; draft content for review and approval by the Referrals Manager before production. Support Admore's digital presence in a supporting role: provide community-facing content ideas, event recaps, and partner spotlights to whoever manages Admore's social media or website; the Referral Specialist is not the primary owner of digital content but is a key contributor. Identify opportunities for community sponsorships, event participation, or coalition involvement that would provide meaningful exposure to Admore's target referral sources; present recommendations with estimated cost and projected referral impact. 5. Data Management, Reporting & Performance Accountability Maintain Admore's referral partner CRM and pipeline tracker with real-time accuracy; this is the system of record for all partner relationships, referral activity, and conversion data. Produce and deliver a weekly referral activity report to the
Referrals Manager:
referral volume by source, intake conversion rate, open pipeline, new partners added, and re-engagement activity. Produce a twice-monthly referral performance summary for leadership that include: total referrals received, referrals by source, intake conversion rate, enrollment conversion rate, referral-to-first-service timeline, top-performing partners, dormant partners, and new partner additions. Track and report Cost per Referral (partner program cost ÷ referrals received) and referral-to-enrollment conversion rate monthly; present findings against Admore's benchmark targets in the marketing effectiveness model. Maintain partner contact records including visit logs, meeting notes, materials distributed, and follow-up commitments; no outreach visit is considered complete until it is documented in the CRM the same day. Identify trends in referral volume, partner activation, and conversion rates; flag anomalies (volume drop from a key partner, surge from a new source, recurring conversion barriers) to the Referrals Manager with a recommended response. Manage event logistics end to end for community outreach events that Admore participates in; registration, materials preparation, staffing coordination, setup, and post-event follow-up and documentation. Track event
ROI:
document attendee count, referral partner contacts made, follow-up appointments scheduled, and referrals received within 30 days of each event; present event performance data to leadership monthly. 6. Internal Collaboration & Professional Conduct Collaborate daily with the
Intake Specialist:
share incoming referral details, confirm intake status on referred clients, align on capacity and availability, and ensure referred clients receive a same-day or next-business-day intake contact. Participate in weekly referrals meetings; bring current referral pipeline data, partner status updates, and any barriers affecting referral volume or conversion that require leadership attention. Partner with the Referrals Manager to understand current caseload capacity, service availability, and intake readiness; communicate this information to referral sources so that partners send appropriate referrals at the right volume. Adhere to HIPAA privacy and security standards in all client-related communications, data handling, and referral documentation; never share client identifying information with a referral partner beyond what is required and consented. Represent Admore with professionalism, cultural humility, and authentic care for the communities served; every partner interaction reflects Admore's brand and mission. Complete all required annual training on time: HIPAA, cultural responsiveness, and any compliance training required by the Referrals Manager or HR. What Makes This Role Different This position was designed from the ground up to be a revenue-generating role, not a marketing support function. The original version of this role at Admore focused on managing promotional materials, attending events, and tracking industry news — activities that are adjacent to the actual work of filling a clinical pipeline. The Referral Specialist role replaces that model with a clear, accountable business development function built around three things: relationships, referrals, and enrollment. The Referral Specialist will have direct visibility into Admore's growth and will be able to see the tangible impact of their work in the enrollment numbers, the utilization data, and the lives of the clients who arrive at Admore through the partnerships they build. For someone who is motivated by mission, relationships, and measurable results, this is a role with real purpose and real accountability. Working Conditions Field-based role with an office anchor at Admore's Houston headquarters. The majority of working hours are spent in the community: visiting provider offices, attending events, meeting with referral partners, and conducting outreach. Office time is used for planning, documentation, CRM updates, and internal meetings. Standard full-time hours with flexibility required for early morning partner visits, occasional evening community events, and weekend health fairs or community outreach activities.
