Job Description

The Dual Credit Enrollment and Records Specialist provide operational support for Lamar State College Orange's dual credit program through accurate processing and maintenance of student records, enrollment transactions, and compliance documentation. This position serves as a critical member of the dual credit operations team by ensuring student records are complete, accurate, and processed in accordance with institutional, state, and regulatory requirements. The Enrollment and Records Specialist works collaboratively with Dual Credit Partnership Specialists, Coordinators, Director, and various college departments to facilitate admissions, registration, records maintenance, enrollment audits, and reporting activities. This position emphasizes operational excellence, attention to detail, and efficient processing while supporting the overall mission and goals of the institution. Enrollment Processing Process dual credit registrations, course changes, withdrawals, and other student record transactions in accordance with institutional policies and procedures. Review enrollment documentation for completeness and accuracy prior to processing. Maintain accurate student records while ensuring compliance with FERPA and institutional record retention guidelines. Monitor enrollment transactions to ensure timely completion of registration deadlines. Records Management and Compliance Assist with dual credit enrolment audits to verify student eligibility, required documentation, and enrollment accuracy. Maintain tracking systems for student enrollment records, outstanding documentation, corrections, and operational workflows. Reconcile discrepancies between submitted documentation and institution records. Assist in preparing operational reports, enrollment summaries, and audit documentation. Operational Support Coordinate with Admissions, Records, Testing, and other institutional departments regarding student record processing. Support registration and enrollment activities during peak operational periods. Assist with the development and maintenance of operational procedures, forms, and process documentation. Team Collaboration Collaborate with Dual Credit Partnerships Specialists to facilitate efficient enrollment processing and timely resolution of student record issues. Provide operational support for departmental initiatives and enrollment projects. Maintain current knowledge of institutional policies, Banner procedures, and Texas dual credit regulations impacting student records. Other Job Functions Perform other duties as may be assigned. Serve on committees as requested. Assist with special projects supporting dual credit operations and enrollment management. Education Associate degree required. Bachelor's degree preferred. Experience Minimum of two years' experience in higher education, admissions, records management, enrollment management, or related administrative experience preferred. Experience with student information systems, Banner, Microsoft Office Suite, and database management preferred. Experience working with dual credit, enrollment services, or student records preferred. Physical Requirement Requires frequent use of computers and office equipment, prolonged periods of sitting, and occasional movement of files and records. Security-Sensitive This position is security-sensitive and thereby subject to the provisions of the Texas Education Code §51.215. Working Conditions Normal office environment. Occasional evening or weekend hours may be required during peak registration and enrollment periods.
