Job Description
Job Overview Anchorage Real Estate Broker is seeking an organized, detail-oriented Executive Assistant who will act as an all-around gatekeeper and strategically manage the Broker's time with respect to priorities, goals, and objectives. The Executive Assistant will also manage contract-to-close processes and daily brokerage operations. This role ensures compliant, timely transactions, provides client support, and manages office administrative tasks.
Key Responsibilities:
Transaction Coordination:
Oversee all aspects of buyer/seller transactions from executed purchase agreement to closing. Prepare documents and obtain signatures, initials and acknowledgments. Submit all paperwork to the broker for file compliance, ensuring accuracy and legal adherence.
Deadline Management:
Track deadlines, including inspections, title work, and loan documents, ensuring timely completion.
Communication:
Serve as the main point of contact between agents, clients, lenders, attorneys, escrow/title companies, and inspectors. This includes receiving and screening phone calls and visitors, answering a variety of questions, internal and external, with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
Data Base/File Management:
Upload and manage files in transaction management systems and MLS. Maintain organized digital and physical transactions files. Perform data entry tasks accurately within spreadsheets, databases, and accounting software such as QuickBooks for bookkeeping purposes.
Office Management:
Oversee and manage the virtual assistant and data into client databases, manage calendars, and handle administrative, office, and listing needs. Assist with office management duties including supply ordering, inventory tracking, and facility coordination to keep the office running smoothly.
Property Management:
Oversee a portfolio of rental properties, manage tenants, and ensure everything runs smoothly. Schedule and host rental property showings, screen applicants, and help select the best tenants for our homes.

Ability:
Confident working with clients and industry professionals. Ability to provide exceptional customer service to clients and team members. Proactive, dependable and solution focused. Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge. High attention to detail and accuracy organization, and problem-solving skills. Strong written and verbal communication skills. Ability to manage multiple transactions at once. Strong proficiency with productivity software including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools. Ability to become proficiency with real estate software (MLS, DocuSign, Dotloop, Skyslope, etc.) Promptness and motivated self-starter.
Qualifications:
Proven experience as an Executive Assistant or in a similar administrative role supporting senior leadership or teams in an office environment. Preferred
- in transaction coordination, real estate administration, title and escrow, mortgage lending, property management or another deadline-driven professional environment. Valid Driver's License What We offer: Competitive compensation
