Job Description
Job Overview We are seeking a dynamic and highly organized Executive Assistant to join our team! In this vital role, you will serve as the right hand to senior leadership, ensuring smooth daily operations and seamless communication across departments. Your energetic approach and exceptional organizational skills will help drive efficiency, manage complex schedules, and support a variety of administrative functions. This position offers an exciting opportunity to be at the heart of our organization's success, providing essential support that keeps everything running like clockwork. Duties Manage and coordinate complex calendars, appointments, and meetings for executives, ensuring optimal time management and prioritization Handle incoming calls using multi-line phone systems with professionalism and courtesy, directing inquiries appropriately Prepare, proofread, and organize correspondence, reports, and presentations with attention to detail and accuracy Assist with office management tasks including filing, data entry, record keeping, and maintaining office supplies inventory Provide exceptional customer service at the front desk by greeting visitors, managing visitor logs, and maintaining a welcoming environment Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices Facilitate communication between departments by organizing meetings, taking minutes, and distributing follow-up action items Qualifications Proven experience as an executive assistant or in a similar administrative role with office management responsibilities Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are highly desirable to assist diverse teams and clients effectively Demonstrated phone etiquette skills with experience managing multi-line phone systems and providing customer support Clerical experience involving filing, proofreading, calendar management, and document preparation Knowledge of medical or dental receptionist duties is a plus but not required; experience in personal assistance or office support roles is valued Ability to handle sensitive information discreetly while maintaining professionalism at all times Join us to be part of a vibrant team where your proactive approach will make a real difference!
