We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative and strategic support to our Chief Executive Officer (CEO) and Chief Marketing Officer (CMO) . This is a pivotal role that requires a high level of professionalism, strong judgment, and the ability to anticipate needs in a dynamic, fast-paced environment. Key Responsibilities Provide high-level executive support, including calendar management, scheduling, and meeting coordination for the CEO and CMO. Manage and prioritize internal and external communications, ensuring prompt and professional responses on behalf of the executives. Prepare high-quality presentations, reports, and correspondence; support executive-level documentation and deliverables. Coordinate complex domestic and international travel arrangements, including flights, accommodations, itineraries, and expense reports. Assist with planning and execution of executive meetings, board meetings, company events, and leadership offsites. Maintain organized systems for tracking documents, records, and confidential information. Act as a liaison between executives and internal teams, board members, clients, and external stakeholders. Monitor deadlines and deliverables; help ensure the executives are fully prepared for meetings and key initiatives. Exercise sound judgment and maintain discretion when handling sensitive company and personnel matters. Provide support on special projects and ad hoc tasks as directed by the CEO and CMO.
Qualifications & Skills Experience:
5+ years supporting C-suite executives in a fast-paced environment; healthcare industry experience is a plus.
Education:
Bachelor s degree in Business Administration or related field, or equivalent experience.
Technical Proficiency:
Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook); familiarity with Zoom, Teams, and other collaboration tools.
Communication:
Excellent written and verbal communication skills; polished, professional demeanor.
Organizational Strength:
Exceptional time management, prioritization, and multitasking abilities.
Judgment & Integrity:
Ability to handle confidential information with the utmost discretion.
Initiative:
Proactive, solution-oriented mindset; able to work independently and take ownership of responsibilities.
Team-Oriented:
Strong interpersonal skills and the ability to collaborate effectively across all levels of the organization.
