The Executive Assistant serves as a trusted partner to the CEO—helping manage communication, priorities, scheduling, operations, and follow-through across multiple departments and initiatives. Key Responsibilities Executive Support Manage the CEO's calendar, scheduling, and daily priorities Monitor and organize the CEO's inbox and communications Prioritize urgent matters and ensure timely follow-up Coordinate travel arrangements, meetings, and logistics Prepare meeting notes, summaries, reminders, and action items Assist with personal administrative tasks as needed Communication & Coordination Serve as a liaison between the CEO and internal departments Route information and requests to the appropriate team members Track action items and ensure accountability across projects Draft and edit emails, communications, and internal updates Maintain professionalism and confidentiality in all interactions Operations & Administrative Management Organize reports, documents, workflows, and recurring processes Assist with ordering supplies, equipment, and company materials Help manage timelines, deadlines, and operational priorities Maintain organized systems for tracking tasks and projects Support leadership meetings and operational rhythms CRM & Client Support Enter and maintain client information in HubSpot CRM Assist with client communication follow-up and relationship management Track outreach, proposals, and business development activities Help maintain organization of key client accounts and contacts Social Media & Brand Support Coordinate executive and company social media engagement Schedule and organize LinkedIn and marketing content Assist with field content creation and company branding initiatives Support a consistent and professional company image Team & Culture Support Schedule team lunches, leadership check-ins, and recurring meetings and trainings Support company communication and culture initiatives Assist with SCRUM workflows and internal accountability systems Help facilitate collaboration between departments and leadership Qualifications Required Skills Excellent organizational and multitasking abilities Strong written and verbal communication skills High level of professionalism and discretion Strong attention to detail and follow-through Ability to prioritize effectively in a fast-paced environment Proactive mindset with strong problem-solving abilities Proficiency with: Google Workspace Calendar and email management tools HubSpot or CRM systems LinkedIn and social media platforms Task management and collaboration tools Preferred Qualifications Experience supporting executives or leadership teams Experience in construction, engineering, technical services, or high-growth companies Familiarity with SCRUM or agile workflow systems Background in operations, communications, or project coordination Experience managing multiple projects and stakeholders simultaneously Anticipates needs before being asked Communicates clearly and professionally Maintains composure under pressure Handles confidential information responsibly Creates structure and organization in fast-moving environments Enjoys supporting leadership and helping teams succeed Embodies Field Verified's culture of professionalism, responsiveness, and continuous improvement Why Join Field Verified?
