CPA firm looking for highly motivated Executive Assistant to provide administrative support to the Partner in the Agoura Hills, CA office. Please submit your resume.
Responsibilities:
Coordinate Partner's calendar/appointments/Zoom Meetings and proactively manage schedule Maintain Partner's contacts Field phone calls, take messages, and respond to inquiries Field client matters (IRS notices, basic filings, document requests, etc.) Communicate with clients on behalf of Partner
  • maintain proactive contact to further client connection Prepare and distribute correspondence, memos, and reports Due date management for client projects Track Partner's projects and tasks and follow up daily to push for progress Assist with additional administrative tasks as needed and requested by Office Manager Greet visitors and direct them to the appropriate person or department Assist with travel arrangements and expense reporting Coordinate special projects and events as assigned
Skills:
  • The Executive Assistant will be responsible for supporting the Partner and must be able to successfully manage multiple projects simultaneously, while maintaining close attention to detail.
PROBLEM SOLVING
The Executive Assistant must be equipped not only to solve problems as they arise, but also to anticipate potential problems and take proactive action to deter them.
  • PROACTIVE APPROACH
    The Executive Assistant must be able to anticipate the administrative needs of the Partner and take initiative to provide support.
  • Proficient in Microsoft Office Suite (Outlook Calendar, Word, Excel, Teams, PowerPoint)
  • Experience in organizing a busy personal and professional calendar for the owner
  • Excellent customer service skills with a professional demeanor
  • Ability to handle confidential information with discretion
  • Familiarity with file management systems and record keeping
  • Strong proofreading skills for accurate document preparation
  • Computer literacy with the ability to quickly learn new software systems
