Job Description

About the Role A private office on the San Francisco Peninsula is looking for a highly capable Executive Assistant to support a principal who chairs a publicly traded company and a large family office. The principal's work covers business, philanthropy, education, investments, civic affairs, and family life, so this role touches all of it. This is a demanding, high-trust role for someone who does well in a dynamic setting, has excellent judgment, and handles confidential matters with complete discretion. You'll work from offices in the mid-Peninsula and coordinate closely with household, estate, travel, and professional staff.
Key Responsibilities Calendar and scheduling:
Manage a complex, frequently changing calendar across business, philanthropic, personal, and family commitments. Anticipate conflicts and set priorities.
Communications:
Draft, edit, and manage correspondence of all kinds, from formal letters to quick responses. Act as a polished, professional point of contact for senior executives, academic leaders, public figures, and personal contacts.
Meetings and events:
Plan and coordinate meetings, board-related activities, family events, and private gatherings. Prepare agendas, briefing materials, and follow-up.
Travel coordination:
Arrange detailed domestic and international travel, working with the flight department, drivers, and estate staff so logistics run smoothly from start to finish.
Home and office technology:
Coordinate the setup, maintenance, and use of home and office automation systems, working with technology vendors and staff so systems across multiple residences and offices are reliable and easy to use.
Reading and media:
Curate and organize books, articles, videos, and briefing materials, and load them onto the principal's devices and reading platforms.
Universities and philanthropy:
Coordinate engagements with multiple universities and charitable organizations, including meetings, events, correspondence, and commitments.
Investments and asset management:
Support coordination with the family office on investment, asset management, and administrative matters.
Civic engagements:
Coordinate attendance and logistics for civic, community, and political events.
Estate and property coordination:
Work with property managers and staff at several private estates on scheduling, projects, vendors, and day-to-day needs.
Family support:
Help plan and coordinate family events, gatherings, and related logistics. Qualifications Bachelor's degree required; advanced degree preferred Excellent writing, editing, and verbal communication skills Intelligent, articulate, curious, and creative, with a genuine interest in ideas and learning Hardworking and dependable, with a strong sense of ownership and follow-through Exceptional organization and the ability to juggle many priorities at once Comfortable with technology and quick to learn new systems, devices, and platforms Sound judgment, composure under pressure, and absolute discretion with confidential information Available for irregular hours, including some evenings and weekends as needed Prior experience supporting a senior executive, principal, or family office is strongly preferred Schedule Full-time, with a flexible and sometimes irregular schedule depending on the principal's commitments.
