Job Description
We are looking for an experienced Executive Assistant to support senior leaders at an entertainment company in Beverly Hills. This contract position is ideal for someone who thrives in a fast-paced environment, manages competing priorities with discretion, and keeps daily operations running smoothly. The role centers on executive scheduling, administrative coordination, and responsive support across a range of day-to-day needs. Previous experience in entertainment is preferred.
Responsibilities:
- Manage complex Outlook calendars for multiple executives, coordinating meetings and resolving scheduling conflicts efficiently.
- Arrange appointments and confirm meeting details, including Zoom access and related logistics when needed.
- Scan, organize, and distribute documents in a timely manner to support executive requests and ongoing business needs.
- Provide direct administrative assistance for day-to-day priorities, handling ad hoc tasks with professionalism and sound judgment.
- Secure lunch reservations and other occasional arrangements to support executive schedules.
- Prepare a daily tea service according to preference as part of personalized executive support.
- Participate in a short onboarding and training period to learn internal meeting coordination processes and support expectations.
