Scion Staffing has been engaged to conduct a search for an experienced Executive Assistant on behalf of our client, a prominent organization within the fine arts industry. This is a full-time, direct-hire opportunity based onsite in Beverly Hills, California. This is an exciting opportunity for an exceptionally polished, proactive, and highly organized Executive Assistant to provide dedicated support to an Executive Vice President with a demanding national and international schedule. The EVP has recently taken on an expanded scope of responsibility and is seeking a trusted partner who can anticipate needs, manage complex logistics, and ensure both professional and personal priorities run seamlessly. The ideal candidate is several steps ahead at all times. This individual will exercise excellent judgment, remain composed when plans change quickly, and confidently represent the EVP when communicating with internal and external stakeholders. Responsibilities
Provide high-level, dedicated administrative and executive support to the EVP.
Own a complex and frequently changing executive calendar, proactively resolving conflicts and anticipating scheduling needs.
Coordinate sophisticated domestic and international travel itineraries, including commercial and private air travel, hotels, ground transportation, reservations, and other logistics.
Accompany the EVP on business travel as needed, with travel expected a minimum of one week per month and potentially more during busy periods.
Anticipate travel needs across different time zones and ensure arrangements are made with exceptional attention to detail and forethought.
Manage last-minute itinerary changes, cancellations, delays, and other unexpected travel or scheduling challenges.
Serve as a key point of contact on behalf of the EVP, communicating professionally with senior executives, clients, business partners, and other stakeholders.
Maintain discretion when handling highly confidential business and personal information.
Assist with personal scheduling and requests as needed.
Proactively identify priorities, follow up on outstanding items, and ensure the EVP is prepared for meetings, travel, and commitments.
Remain accessible and responsive outside traditional business hours when necessary, particularly while the EVP is traveling internationally or during peak business periods.
Handle changing priorities calmly and effectively in a fast-paced, high-expectation environment.
Perform additional executive support responsibilities and special projects as needed.
Qualifications
5+ years of Executive Assistant experience, with significant experience directly supporting C-suite or senior executive leadership.
Demonstrated experience managing complex executive calendars and rapidly changing priorities.
Advanced experience coordinating domestic and international travel, including multi-city and time-zone-sensitive itineraries.
Experience coordinating both commercial and private aviation strongly preferred.
Valid passport and ability to travel domestically and internationally a minimum of one week per month.
Exceptional organizational skills with the ability to anticipate needs rather than wait for direction.
Ability to remain calm, flexible, and solutions-oriented under pressure.
Comfortable supporting an executive with a demanding schedule and being responsive outside standard working hours when business and travel needs require.
Strong attention to detail and ability to independently manage multiple competing priorities.
Prior experience supporting executives in a fast-paced corporate, luxury, professional services, entertainment, financial services, family office, or similarly high-touch environment is a plus.
Compensation & Benefits
This direct-hire opportunity offers a base salary of $110,000-$130,000, depending on experience and qualifications, plus eligibility for a discretionary bonus. Additional benefits information will be provided during the interview process.
