This role is crucial in providing exceptional customer service and administrative support while ensuring the smooth operation of our front desk. The ideal candidate will possess strong communication skills, be proficient in various office software, and have a friendly demeanor to create a welcoming environment. Responsibilities Manage multi-line phone systems, directing calls appropriately and taking messages as needed Perform data entry, filing, and clerical tasks to maintain organized records Submit Referrals via email and follow up on status of referrals Verify medical insurance for patients Provide customer support by addressing inquiries and resolving issues promptly Maintain office supplies inventory and order supplies as necessary Assist with proofreading documents to ensure accuracy and professionalism Support office management functions, including maintaining cleanliness and organization of the workspace Collaborate with team members to enhance workflow efficiency Requirements Previous experience as a receptionist or in an administrative role is preferred Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace Strong computer skills with the ability to learn new software quickly Excellent organizational skills with attention to detail Bilingual abilities are a plus, enhancing communication with diverse clientele Familiarity with front desk operations and phone etiquette Experience in customer service or support roles is highly valued Ability to manage time effectively while handling multiple tasks simultaneously Knowledge of dental or medical receptionist duties is advantageous Typing speed of at least 40 words per minute with high accuracy Previous personal assistant experience is beneficial but not mandatory Strong proofreading skills to ensure all communications are clear and professional If you are a motivated individual looking for an opportunity to contribute positively to our team while developing your administrative skills, we encourage you to apply for this position.
