JobDescription The Executive Assistant provides high-level administrative and operational support to the Executive Team. This role operates in an extremely fast-paced environment where priorities can shift quickly and multiple high-level needs may require attention at the same time. Exceptional attention to detail, organization, urgency, and follow-through are essential to success. The Executive Assistant must be able to move quickly without sacrificing accuracy , anticipate needs, exercise sound judgment, and remain organized and effective under pressure. Roles and Responsibilities Responsibilities and essential job functions include but are not limited to the following: Manage executive calendars, meetings, appointments, and scheduling priorities. Coordinate travel, accommodations, itineraries, and expense reporting. Prepare meeting agendas, presentations, reports, correspondence, and other executive materials. Prepare Executives for meetings and maintain accurate meeting notes, action items, and follow-up. Track executive priorities, action items, and to-do lists to support timely follow-through on deadlines and commitments. Screen and prioritize calls, emails, meeting requests, and other communications. Maintain confidential executive files, records, contacts, and documentation. Conduct research and gather information as needed to support executive priorities and decision-making. Assist with special projects, company events, and HQ operations. Coordinate administrative needs for departments directly overseen by Executives, as assigned. Serve as a professional liaison between Executives, employees, vendors, and external parties. Handle sensitive and confidential matters with discretion and sound judgment. Maintain flexibility to support occasional business needs outside standard working hours Physical Requirements The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Occasional standing/walking, up to 8 hours at a time. Occasional stooping, kneeling or crawling. Occasional pushing, pulling, lifting or carrying up to 75 lbs. Frequent, continual, intermittent flexing or rotation of the wrist(s) and spine. Constantly receiving detailed information through verbal communication. Constant talking, expressing or exchanging through verbal communication. Constant clarity of vision at near and/or far distances. Qualifications 2-4 years of experience in administrative, executive support, coordination, or a related role; experience supporting senior leaders highly preferred. Associate's or Bachelor's Degree in Business Administration, Communication, or a related field preferred; relevant experience may be considered in place of formal education. Proficiency in Microsoft Office Suite and Google Workspace; experience with project management and communication platforms preferred. Strong understanding of Dutch Bros culture and vision. Ability to manage multiple priorities and work effectively under pressure in an extremely fast-paced environment. Exceptional organization, attention to detail, and follow-through. Strong written and verbal communication skills. Excellent time management with the ability to anticipate needs and adjust quickly as priorities change. Self-motivated with the ability to work independently while knowing when to escalate or seek direction. Commitment to producing accurate, high-quality work while meeting tight deadlines. Reliable transportation; clean driving record and ability to meet company insurability requirements. Flexibility to occasionally work outside standard business hours based on executive and business needs.
