Job Description
Are you organized, professional, and great at keeping things moving? Redwood Empire Vineyard Management is looking for a proactive, highly organized Executive Assistant to provide direct support to our CEO and help keep our fast-paced company running smoothly. We're looking for someone who thrives on multitasking, takes initiative, pays attention to the details, and can confidently manage competing priorities. This is an important role for someone who enjoys being the person others can depend on and who takes pride in doing things right. No two days are exactly alike, so if you enjoy variety, problem-solving, and working with a great mix of people, this could be a great fit for you. What You'll Do
- Provide administrative and executive support to the CEO
- Manage calendars, appointments, meetings, and conference calls
- Screen calls and ensure messages are communicated promptly
- Communicate professionally with clients, vendors, wineries, and business partners by phone and email
- Coordinate meeting preparation, including agendas, presentations, and meeting materials
- Manage and prioritize multiple projects, requests, and deadlines
- Prepare reports and maintain organized and accurate files
- Answer phones and greet visitors in a friendly and professional manner
- Handle confidential information with discretion and good judgment
- Assist with maintaining DMV records for our commercial vehicle fleet
- Assist with maintaining our BIT program and coordinating with required inspectors
- Take ownership of special projects and other assignments as needed
- Work collaboratively with team members across the organization
- Jump in and help wherever needed to keep things moving What We're Looking For The right person for this position is organized, dependable, professional, and proactive. You don't need to be told every step of the way you see what needs to be done and take care of it. We're looking for someone with:
- Previous experience supporting senior or executive level management
- Excellent written and verbal communication skills
- Strong business writing and proofreading skills
- Exceptional organizational skills and attention to detail
- Excellent time management and prioritization skills
- Ability to successfully manage multiple projects at the same time
- Strong follow through and accountability
- Proficiency with Microsoft Office Suite
- Professional phone presence and appearance
- Sound judgment and discretion when handling confidential information
- Ability to work independently and make decisions when appropriate
- A positive, helpful, and team-oriented attitude
- Ability to work effectively with a diverse group of people
