This role offers an exciting opportunity to be the backbone of our administrative functions, providing critical support that enables executives to focus on strategic initiatives. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a proactive attitude to manage a busy schedule and diverse responsibilities efficiently. Duties Manage complex calendars, coordinate meetings, and organize appointments with precision and attention to detail Handle all incoming calls using multi-line phone systems, directing inquiries professionally and promptly Coordinate meetings of the Board of Directors and Board Committees, including meeting scheduling, preparation and distribution of board materials, meeting logistics, and maintenance of official corporate records. Prepare, maintain, and distribute accurate meeting minutes for the Board of Directors, Board Committees, and Executive Leadership Team meetings while ensuring appropriate confidentiality and record retention. Record and monitor action items from executive and board meetings and follow up to ensure timely completion of assignments and strategic initiatives. Prepare, proofread, and distribute correspondence, reports, and presentations using Microsoft Office and productivity software Maintain accurate records through data entry, filing systems, and spreadsheet management for various projects and administrative tasks Assist with office management duties including supply inventory, equipment maintenance, vendor relationships, maintenance, workplace operations. Ensure a safe, organized, and professional office environment for employees and visitors. Support client communication efforts by providing exceptional customer service via phone, email, and in person Coordinate travel arrangements, calendar management, and personal assistant responsibilities for executives as needed Skills Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Smart Sheets Workspace tools for document creation and collaboration Excellent computer literacy with the ability to quickly adapt to new software or technical tools Strong data entry skills with high accuracy; familiarity with spreadsheets for tracking information effectively Exceptional phone etiquette and experience managing multi-line phone systems for professional communication Demonstrated ability to prioritize tasks efficiently while managing multiple responsibilities in a fast-paced environment Outstanding organizational skills with attention to detail in proofreading documents and managing schedules Excellent time management skills to meet deadlines consistently while maintaining high productivity levels Join us as an Executive Assistant where your expertise will empower our leadership team to excel!
