Responsibilities Provide comprehensive administrative support to executives, including calendar management, scheduling meetings, and coordinating appointments with precision. Handle incoming calls using multi-line phone systems with professionalism and courtesy, ensuring prompt customer service and efficient message relay. Manage office operations by overseeing front desk activities, greeting visitors, and maintaining a welcoming environment. Maintain accurate records through data entry, filing, proofreading, and document management using Microsoft Office and Google Workspace tools. Assist with bookkeeping tasks utilizing QuickBooks or similar accounting software to track expenses and manage invoices. Support personal assistant duties such as travel arrangements, event planning, and personal errands as needed. Ensure office supplies are stocked and organized; oversee clerical tasks including photocopying, faxing, and mail distribution. Provide exceptional customer support by addressing inquiries professionally via phone or email while maintaining excellent phone etiquette. Facilitate effective communication across departments through organizational skills and timely follow-up on action items. Qualifications Proven experience as an executive assistant or in a similar administrative role with office management responsibilities. Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry skills. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Exceptional verbal and written communication skills; bilingual abilities are a plus for broader communication needs. Experience handling multi-line phone systems and front desk operations with professionalism. Knowledge of bookkeeping software such as QuickBooks is preferred; familiarity with medical or dental receptionist duties is advantageous. Demonstrated ability to manage calendars meticulously while supporting multiple executives or departments. Attention to detail with proofreading skills to ensure accuracy in all documents and correspondence. Strong time management skills combined with the ability to adapt quickly to changing priorities.
