Job Description

We are looking for an Executive Assistant to support senior leadership in Pasadena, Texas through strong organization, sound judgment, and proactive coordination. This Long-term Contract position is ideal for someone who can manage competing priorities, maintain an accurate executive schedule, and ensure travel and meeting logistics run smoothly. The successful candidate will help create structure in a fast-paced environment while providing dependable day-to-day administrative support.
Responsibilities:
  • Oversee complex executive calendars, resolving scheduling conflicts and aligning appointments with shifting business priorities.
  • Arrange domestic and international travel plans, including transportation, lodging, and detailed itineraries that support efficient business travel.
  • Coordinate meeting logistics for leadership, including scheduling sessions, preparing agendas, and confirming attendee readiness.
  • Track upcoming commitments and follow-ups to help executives stay organized and prepared for key discussions and deadlines.
  • Communicate with internal teams and external contacts to support smooth scheduling and timely updates on travel or meeting changes.
  • Prepare and organize materials needed for executive meetings, ensuring information is accessible and presented professionally.
