Job Description
We are seeking a motivated and detail-oriented administrative clerk to support our office operations. This role is responsible for performing a variety of clerical and administrative tasks to ensure the efficient day-to-day function of our office. Ideal candidates will demonstrate strong organizational skills, professionalism, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Entry-Level:
Answer and direct phone calls Greet and assist visitors File, photocopy, and scan documents Data entry and document management Schedule meetings and appointments Maintain office supplies inventoryMid-Level:
Coordinate calendars and manage scheduling for multiple staff Prepare and edit reports, correspondence, and presentations Support internal teams with project tracking Assist in basic bookkeeping or invoicing Manage office supply orders and vendor communication Train junior clerical staff as neededExecutive-Level:
Provide high-level administrative support to senior executives Handle confidential and time-sensitive information Prepare board packets, executive correspondence, and meeting minutes Arrange complex travel plans and itineraries Act as a liaison between executive leadership and internal/external stakeholders Coordinate office-wide events, meetings, and communicationRequired Skills & Qualifications:
Entry-Level:
High school diploma or equivalent Proficiency in Microsoft Office (Word, Excel, Outlook) Strong attention to detail and organization Excellent verbal and written communicationMid-Level:
2-4 years of clerical/administrative experience Associate's degree preferred Strong multitasking and time management skills Familiarity with office software and scheduling toolsExecutive-Level:
5+ years of executive administrative experience Bachelor's degree preferred Discretion and integrity handling confidential information Advanced skills in Microsoft Office Suite, Zoom/Teams, etc. Excellent interpersonal and executive-level communication skillsPreferred Qualifications:
Bilingual (English/Spanish) a plus Experience in industries common to the IE (e.g., logistics, education, healthcare, government) Familiarity with office procedures in California workplace settingsCompensation:
Entry-Level:
$17•22/hourMid-Level:
$22•28/hourExecutive-Level:
