This role offers an exciting opportunity to support executive leadership while developing a broad skill set in office management, project coordination, and administrative support. As an integral part of our organization, you will help streamline daily operations, manage schedules, and ensure seamless communication across departments. Duties Provide comprehensive administrative support to team. Coordinate and assist with event planning for company meetings, conferences, and special events, ensuring all logistics are handled smoothly. Manage office operations such as filing, data entry, bookkeeping with QuickBooks, and maintaining organized records. Professional and friendly phone etiquette with multi-line phone systems, screen calls, and direct inquiries appropriately. Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents, and transcribing meeting notes. Assist with personal assistant duties such as booking travel arrangements and managing personal schedules for executive. Perform clerical tasks including filing, photocopying, scanning documents with Office experience and proficiency in Microsoft Office Suite. Manage email inboxes and help prioritize important messages Schedule appointments and maintain calendars Support client, partner, and lead follow-up Assist with CRM organization in GoHighLevel and Salesforce Help build and manage marketing campaigns and automations Coordinate social media content and posting Organize prospecting lists for foreclosure, investor, and agent outreach Some outgoing solicitation personal or phone Support Social Media marketing funnels and lead follow-up systems Assist with general admin tasks across multiple business lines Ideal Candidate Proven experience in administrative roles or office management, preferably as an executive or personal assistant. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent communication skills with professional phone etiquette and customer service experience. Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace tools, and data entry software. Experience with QuickBooks for bookkeeping and basic accounting tasks is highly desirable. Ability to type quickly and accurately; familiarity with transcription and proofreading is a plus. Knowledge of office systems such as multi-line phone systems and DocuSign for electronic signatures.
