This is a varied, hands-on position for someone who enjoys organization, problem-solving and making things happen behind the scenes. Some days may involve managing databases, coordinating a real estate transaction or preparing a newsletter; others may include meeting a vendor at a property, picking up client gifts, making returns or helping coordinate a personal project. The overall goal of this role is to help keep my business and life organized, make sure important details don't fall through the cracks, and free up my time to focus on clients, relationships and growing my business. Real Estate & Business Responsibilities Maintain and update CRM, sales and past-client databases Add new clients and prospects to email and newsletter databases Assist with weekly email newsletter preparation and distribution Coordinate monthly cards, mailers and other past-client touches Repurpose and distribute Instagram content across YouTube, TikTok, Google and email marketing Stay up to date on local South Bay events and activities for marketing and content Research current real estate, social media and marketing trends Help plan and coordinate client events, community events and marketing initiatives Monitor email, respond to routine correspondence when appropriate and flag important or time-sensitive items Assist with transaction coordination, paperwork, deadlines and communication Coordinate listing preparation, including photographers, stagers, inspectors, signage, vendors and property access Assist with open houses and other listing-related needs Coordinate client gifts, deliveries and follow-up Organize receipts, invoices, marketing materials and business records Research properties, vendors, services and other information as needed Help manage ongoing projects and follow up on outstanding tasks Personal & Executive Assistant Responsibilities Run local errands throughout the South Bay Handle returns, exchanges, pickups and drop-offs Purchase and pick up household, office or event supplies Schedule personal appointments and reservations Coordinate household vendors, repairs and service appointments Research and book services as needed Assist with planning and preparation for parties, dinners and other events Organize paperwork, receipts and miscellaneous personal administrative items Help manage personal projects and ongoing to-do lists Handle other day-to-day personal tasks and errands as needed Who I'm Looking For The ideal person is extremely organized, trustworthy, resourceful and comfortable working independently. You should be someone who naturally notices what needs to be done and takes ownership of it rather than waiting for detailed instructions. You should be comfortable shifting between professional and personal responsibilities and understand that discretion and confidentiality are important in both. Strong communication and technology skills are essential. You should be comfortable using Google Workspace, spreadsheets, calendars, email, social media and learning new platforms and systems. Real estate experience is helpful but not required. Organization, judgment, initiative and follow-through are more important. Some work can be completed remotely, but regular in-person availability in the South Bay is required. There is potential for the position to grow in hours and responsibility over time for the right person.
