Job Summary We are seeking an exceptional Executive Assistant to provide strategic and operational support to the Chief Administrative Officer, Chief Financial Officer, and General Counsel. This role is central to driving operational excellence, fostering company culture, and enabling strategic decision-making across OpenGov's executive leadership team. The ideal candidate will be a proactive, culturally-attuned partner who excels at managing complex executive priorities while serving as a cultural bridge across the organization. You'll coordinate high-impact events, offsites, and initiatives that strengthen OpenGov's culture and engagement, while simultaneously managing the sophisticated logistics of supporting three senior executives in a fast-paced, mission-driven environment. This is a unique opportunity for someone who wants to amplify impact beyond traditional admin work. You'll be instrumental in shaping how leadership connects with the organization, how key decisions get made, and how our people experience OpenGov's values.
Excellent organizational skills, attention to detail, and ability to manage multiple priorities. Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar), Microsoft Office, and productivity tools. Experience working with AI-powered automation tools to enhance efficiency. Exceptional written and verbal communication skills, with the ability to craft executive-level materials. 5 days a week in office.
Core Responsibilities Executive Support & Strategic Partnership Multi-Executive Calendar & Inbox Management:
Proactively manage complex calendars for the CAO, CFO, and GC across multiple time zones and business priorities. Anticipate scheduling conflicts, suggest trade-offs, and block time strategically to protect focus on highest-impact work.Executive Coordination & Alignment:
Serve as a key connective node between the three executives and across organizational departments. Facilitate seamless communication, flag misalignments early, and help drive execution on shared priorities.Meeting Preparation & Documentation:
Develop comprehensive briefing materials, agendas and presentations for team meetings. Take detailed notes during key discussions, clearly document action items with owners and deadlines, and ensure follow-through on commitments.Travel Management:
Plan domestic and international travel itineraries for executives and leadership team. Handle logistics including accommodations, ground transportation, visa coordination, and real-time adjustments. Leverage AI tools to optimize travel planning and expense reporting.Process Optimization & Documentation:
Identify opportunities to streamline recurring processes (meeting cadences, approvals, communications). Document processes and maintain operational playbooks that scale as the company grows.Culture & Events Leadership Culture Events & Execution:
Help support company all hands meetings, happy hours and other internal events, working cross functionally with partners in Workplace and HR.Offsite Management:
Lead the planning and execution of team offsites. This may include venue selection, agenda design and logistics coordination. Create experiences that foster strategic thinking, team building, and culture reinforcement.Cultural Listening & Insight:
Maintain a pulse on team engagement and culture through informal connections across the organization. Bring observations and insights to leadership about what's resonating, what needs attention, and how to strengthen culture.AI & Modern Tools Leadership AI Tool Adoption and Workflow Innovation:
Actively explore and pilot AI-powered tools to enhance team productivity.Examples:
scheduling automation, meeting transcription and summarization, email drafting assistance, presentation generation, and workflow optimization.Best Practices Sharing:

5+ years of experience as an Executive Assistant, Chief of Staff, or similar role supporting C-suite executives Demonstrated experience supporting multiple executives simultaneously or leading a team Strong project management skills with experience coordinating executive priorities.Excellent organizational skills, attention to detail, and ability to manage multiple priorities. Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar), Microsoft Office, and productivity tools. Experience working with AI-powered automation tools to enhance efficiency. Exceptional written and verbal communication skills, with the ability to craft executive-level materials. 5 days a week in office.
Preferred:
Bachelor's degree in Business Administration, Communications, or a related field (or equivalent experience). Experience in SaaS, Technology, or a high-growth startup environment. Familiarity with project management tools. Notary commission, or willingness to become a notaryCompensation:
San Francisco, CA:
$125,000 - $140,000 On target ranges above include base plus a portion of variable compensation that is earned based on company and individual performance.
