San Francisco, CA Job Details Temporary | Contract $65,000 - $85,000 a year 14 hours ago Benefits Happy hour Qualifications Expense management Executive administrative support Customer inquiry handling Organizational skills Office management Time management Full Job Description Temporary Executive Assistant (5-6 Month Contract) We are a corporate interior design firm based in San Francisco's SoMa district seeking an experienced Executive Assistant to support one of our founders while also leading office management operations. This is a temporary, fixed-term role (June-November/December 2026) to cover a maternity leave. This is a full-time, onsite position in our San Francisco studio, Monday-Thursday, 8:00 AM-6:30 PM. In this role, you will work directly with the Founder to manage priorities, streamline daily operations, and ensure overall efficiency. You will often be the primary contact with clients and business relationships; therefore you must have excellent business acumen and instincts. You will also act as the Founder's proxy when needed—supporting staff, fielding requests, and ensuring clear, timely communication across the office. We're looking for a highly professional, proactive individual with excellent communication skills, sound judgment, and the ability to stay aligned with the broader vision of the firm.

Responsibilities:
Executive Support
  • Maintain and manage Founder's calendar and business correspondence
  • Generate, compose, proof, format, and issue business correspondence as necessary
  • Appropriately directs calls, emails, and inquiries
  • Check Founder's emails as requested. Plan, coordinate and ensure the Founder's schedule is followed and respected
  • Proactively keep Founder well informed of upcoming commitments and responsibilities and follow up as appropriate
  • Perform miscellaneous tasks as requested or designated by the Founders and Directors (projects related to marketing, accounting, business development, and office services)
  • Coordinate meetings; confirming attendees, scheduling conference rooms, ensuring adequate IT support, catering (or making reservations) and creating and distributing agendas/taking-meeting minutes
  • Make all travel arrangements and manage Founder's credit cards and expense reports. Travel arrangements include, but are not limited to, lodging, transportation, appropriate travel documents, car rental, and meal planning. Arrange domestic and international travel creating point to point itineraries and agendas, and compile documents for travel related meetings
  • Compile and enter Founder's expense reports and billable hours on a weekly basis
  • Prioritize conflicting needs. Handle matters expeditiously, punctually, and follow through on tasks to successful completion, often with deadline pressures
  • Assist with Founders event invitations, talk title/Bio, marketing collateral, presentation creation, travel booking and reimbursement
  • First point of contact for Business Development Inquires. Assist with scheduling initial call, NDAs, Contracts, meetings and sidewalks. Employee Support
  • Act as the Founder's proxy with staff when he is away from the office or in meetings, offering help for all requests requiring the Founder's attention so staff feels heard, taken care of and assurance that requests and questions will receive a timely response
  • Provide a bridge for smooth communication between Founder and staff, demonstrating leadership to maintain credibility, trust, and support with staff
  • Coordinate meetings including setting up of meeting room, ordering lunch for team/client, coordinating overnight client stays, organizing client entertainment, etc.
  • Assist in planning office events; happy hours, birthdays & teambuilding events
  • Recruiting support, including candidate interview scheduling and onboarding Office / Facilities Support
  • Maintain and manage inventory for the kitchen pantry, office supplies, and janitorial essentials to ensure seamless daily operations
  • Maintain cleanliness for employees and guests in the following areas; kitchen, conference rooms, storage room and front yard
  • Assist Founder in coordinating any building facilities related matters, contacting and meeting maintenance vendors, scheduling facilities updates, organizing staff desk moves and maintaining a neat and organized facility
  • Manage Janitorial service team
  • Take trash out every Monday
  • Ensure HVAC and appliances are in working order Education and Experience
  • Bachelor's degree preferred
  • 5+ years of executive and administrative support
  • Proficient in Office Suite, Google Suite/Calendars (Adobe Suite/InDesign bonus)
  • Outstanding communication and interpersonal skills
  • Experience in a role requiring maintaining the highest level of confidentiality
