Job Description

The Executive Administrative Assistant will provide high-level administrative support to the CEO, executive team members, and the Board of Directors. Reporting directly to the CEO, this role provides executive support in a one-on-one working relationship. The Executive Administrative Assistant also serves as a liaison to the Board of Directors and senior management teams, organizes and coordinates executive outreach and external relations efforts, and oversees special projects. This position requires a results-oriented individual whose passion for the mission is matched with excellent communication and time management skills, as well as a proven ability to meet deadlines. Major Duties & Responsibilities Serves as administrative support to executive management staff, including handling complex and confidential matters, while reporting directly to the Director of Human Resources and Administration. Provides clerical services by designing and implementing administrative systems, procedures, and policies, and monitoring administrative projects. Assists the CEO with a broad variety of daily administrative duties and tasks. Provides confidential administrative and project support for the Executive Officer and Board of Directors. Acts as a liaison between the executive team, staff, outside agencies, and the public, coordinating resolutions when appropriate. Composes, types, edits, and proofreads a variety of complex documents, including forms, memos, administrative reports, statistical reports, financial reports, staff reports, legal correspondence, and general communications. Reviews documents for spelling, punctuation, and grammar and makes corrections as needed. Redacts confidential information when required. Organizes and carries out administrative assignments. Researches, compiles, and organizes information from various sources and prepares reports and informational materials. Arranges travel, lodging, conference registrations, and reimbursement requests for executive staff and Board members. Supports front desk operations, including screening phone calls, visitors, emails, and mail. Assists tenants, property managers, property owners, agency partners, and members of the public. Responds to complaints and requests for information while applying organizational policies and procedures. Supports executive participation in boards, committees, and community groups. Coordinates quarterly staff meetings, management meetings, and other special meetings. Manages conference room calendars. Assists with event planning and employee engagement activities. Oversees office building tenant relationships, maintenance scheduling, and work order coordination. Performs other duties as assigned. Board Support Serves as the primary point of contact for the Board of Directors. Takes meeting minutes and streamlines board communications. Prepares and distributes Board meeting agenda packets and supporting materials. Drafts resolutions, reports, memoranda, notices, and other board-related documentation. Coordinates travel arrangements for Board members. Provides administrative support for Board meetings, affiliate board meetings, and management meetings.
