Job Description Diamond D General Engineering and Knotty Wood BBQ are looking for a highly organized, dependable, and motivated individual to join our team. This is a unique position supporting two family-owned businesses and working closely with company ownership and management. The role combines executive and administrative support, construction project coordination, customer service, operations, and marketing. No two days will look exactly the same. We are looking for someone who enjoys variety, takes initiative, can manage multiple priorities, and is comfortable taking ownership of tasks and following them through to completion. Diamond D General Engineering Responsibilities Provide executive and administrative support to the company President. Manage and organize email, calendar, meetings, appointments, reminders, and deadlines. Track active construction projects, permits, inspections, approvals, and outstanding items. Communicate with customers, vendors, subcontractors, engineers, consultants, and City/County agencies. Assist with permit applications, corrections, inspections, and project documentation. Research potential jobs and bid opportunities. Review plans, specifications, and bid requirements as needed. Request and follow up on vendor and subcontractor quotes. Assist with bids, RFQs, proposals, qualification packages, forms, and letters. Maintain project files, spreadsheets, trackers, and company records. Coordinate information between management, office staff, field employees, customers, vendors, and agencies. Assist with business licenses, company events, applications, renewals, and special projects. Keep multiple projects moving and follow up on outstanding emails, quotes, permits, approvals, and deadlines. Knotty Wood BBQ Responsibilities Monitor product and packaging inventory and communicate with vendors regarding production and supply needs. Respond to customer questions and concerns and coordinate replacements or resolutions when needed. Communicate with retailers and vendors regarding products, orders, promotions, and inventory. Help coordinate new products and packaging, including samples, artwork, pricing, and production timelines. Assist with website updates, products, promotions. Track website, social media, and advertising performance. Create and schedule social media content, promotional emails, newsletters, and marketing materials. Monitor social media comments, messages, tags, and customer content. Assist with sales and promotional campaigns. Qualifications We understand this is a unique position and do not expect applicants to have experience in every area. We are primarily looking for someone who is organized, capable, willing to learn, and comfortable taking ownership of their responsibilities.
The ideal candidate will:
Be highly organized with strong attention to detail. Be able to manage multiple projects, deadlines, and priorities at the same time. Have strong written and verbal communication skills. Be comfortable communicating professionally by phone and email. Be self-motivated and willing to take initiative. Have strong follow-through and the ability to keep track of outstanding items. Be comfortable researching information and finding solutions independently. Be proficient with Microsoft Office, Google Workspace, spreadsheets, and general computer applications. Be comfortable learning new software and online systems. Be professional, dependable, and able to handle confidential business information. Preferred Experience Experience in any of the following is a plus: Executive or administrative support Construction administration or project coordination Permitting or working with government agencies Bidding, proposals, or RFQs Marketing or social media E-commerce or retailer order management Customer service Website management Vendor coordination
Pay:
$25.00 - $30.00 per hour Expected hours: 30.0 - 40.0 per week
