  • 4:00 PM Position Summary Aquality Construction is seeking a highly organized, professional, and motivated Executive Assistant to support our Construction Manager.
This position requires an individual with excellent computer, strong interpersonal abilities, and the initiative to work independently while effectively managing multiple priorities and helping the Construction Manager improve their organization and efficiency daily. The ideal candidate is an experienced administrative professional who knows how to carry an executive workload and identify what needs doing without being asked. You'll be the Construction Manager's right hand — protecting their time, anticipating what's coming, and taking ownership of the administrative work that keeps projects moving so they can stay focused on the field. This role rewards someone who sees what needs to happen next and handles it. Standard working hours are Monday through Friday, 6:00 AM to 4:30 PM, with occasional flexibility required to support field operations. Essential Responsibilities Administrative Support Provide day-to-day administrative support to the Construction Manager. Manage calendars, appointments, meetings, note taking, and correspondence. Prepare and maintain reports, spreadsheets, and company documents. Answer phones, direct inquiries, and provide exceptional customer service to homeowners, builders, and trade partners. Assist with data entry, document preparation, and record management. Handle confidential information with discretion and professionalism. Prioritize daily tasks and proactively address administrative needs. Construction and Project Support Manage and monitor the construction Manager's email inbox. Open new jobs in the company's project management system and maintain accurate job records, contacts, and documentation. Maintain and update the master construction schedule and keep job calendars current as dates shift. Prepare, distribute, and track subcontractor scopes, purchase orders, and change orders. Collect and track subcontractor and vendor compliance documents, including insurance certificates and W-9s. Print and organize construction plans, specifications, and project documents. Assist the Construction Manager and field crews with project setup, document management, and administrative tasks. Track project milestones and deadlines and ensure timely communication with the field team. Assist with material orders, deliveries, and scheduling coordination as needed. Qualifications Required Skills and Experience Ability to identify ways the Construction Manager can improve efficiency both by taking responsibilities over, and by making recommendations on how the Construction Manager can improve their own processes. Strong computer proficiency, including Microsoft Office Suite (Word, Excel, Outlook, and Teams). Excellent attention to detail. Strong organizational and time management skills. Outstanding verbal and written communication abilities. Ability to prioritize responsibilities and manage multiple deadlines. Professional demeanor with exceptional customer service and people skills. Self-motivated with the ability to work independently. Willingness to learn new software, systems, and processes. Ability to maintain confidentiality and exercise good judgment. Preferred Qualifications Previous experience as an Executive Assistant, Administrative Assistant, Project Administrator, Office Manager, or similar role. Experience in the construction industry, residential project administration, or a trade services environment preferred. Familiarity with construction plans, specifications, permitting, and subcontractor coordination is a plus. Experience with construction project management software (JobTread or similar) is a plus.
