Job Description

The Executive Assistant for Viaero Fiber Networks provides high-level administrative, operational, and strategic support to assigned, senior leadership within Viaero Fiber. This is an onsite role in Fort Morgan, and requires exceptional organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant serves as a trusted partner, helping to optimize time, ensure effective communication, and drive organizational efficiency. They are responsible for executive administrative functions including making travel arrangements, managing expense reports and invoices, scheduling meetings, receiving visitors, internal and external correspondence, overseeing company functions and event coordination, calendar management, general office duties, preparing materials for all meetings, registering for all conferences and other duties as assigned. Responsibilities Manage executive calendars, appointments, meetings, and travel arrangements with a high level of accuracy and confidentiality. Prepare, review, and edit correspondence, reports, presentations, and other documents. Coordinate and support offsite meetings, and leadership events, including logistics, agendas, and follow-up actions. Attend key management meetings and organize necessary materials for meetings. Track and follow up on strategic projects, deadlines, and deliverables to ensure timely completion. Collaborate with other departments to facilitate smooth communication and execution of executive directives. Handle confidential and sensitive information with discretion and professionalism. Create and maintain detailed organization charts and budgets. Prepare briefing materials and background information for meetings and public appearances. Qualifications Bachelor s degree in business administration, communications, or related field preferred, or other degree, such as paralegal. Minimum of three (3) years of executive administrative experience, supporting VP and above clients. This is not an entry-level administrative role. Must be at least 21 years old, have a valid driver s license, and ability to pass pre-employment processes, including drug test, criminal background, and motor vehicle record check. Proven ability to manage multiple, complex priorities with attention to detail and accuracy. Exceptional written and verbal communication skills. High level of integrity, professionalism, and discretion when handling confidential information. Strong proficiency in MS365 (Outlook, Word, Excel, PowerPoint) and familiarity with MS collaboration tools.
