- not just tolerate it. Key Responsibilities Executive & Calendar Management Own and manage a complex, high-volume executive calendar with zero margin for error
- proactively resolving conflicts and prioritizing based on business erve as a decisive gatekeeper for all meeting requests
- approving, declining, or redirecting based on executive priorities, not just availability Maintain a running brief on daily priorities, pending decisions, and upcoming commitments to ensure the CEO walks into every room ready Travel & Private Aviation Manage all domestic and international travel logistics end-to-end, including private aircraft scheduling, ground transportation, hotel accommodations, contingency planning, and detailed itineraries Maintain relationships with aviation vendors, FBOs, and hospitality providers to deliver seamless, premium-level service Ensure complete, up-to-the-minute travel packages with accurate expense reporting upon return Live Event Support Provide on-site executive support for a minimum of 20 live events per year, including weekend events Coordinate event-day logistics for executive appearances, speaking engagements, meet-and-greets, and VIP interactions Serve as the primary point of contact backstage and on-site, managing schedule adherence and real-time problem resolution Personal Operations & Expense Management Handle personal scheduling, supply ordering, errands, and ad hoc personal requests with the same professionalism applied to business tasks Ensure all personal and professional expense reporting is completed accurately and on time Social Media & Brand Collaboration Support content capture, coordination, and scheduling in alignment with brand campaigns and the marketing team Assist in managing executive social media activity including draft reviews, posting schedules, and coordination with the digital team Monitor brand-relevant activity and surface key opportunities or issues requiring executive attention Communication & Correspondence Screen, prioritize, and draft executive correspondence with a professional, on-brand voice Serve as a communication bridge between the CEO and internal departments, external partners, clients, and media•ensuring the right people have the right information at the right time Maintain strict confidentiality across all executive communications, business matters, and personal information Meeting & Project Support Prepare agendas, briefing documents, and presentations that set the CEO up for success in every meeting and engagement Take clear, structured notes during executive meetings; own action item tracking and follow-through across stakeholders Coordinate cross-functional projects and special initiatives as assigned, with full ownership from start to finish Systems & Operations Maintain organized, up-to-date digital files, databases, and project records•nothing slips, nothing is sloppy Write, document, and continuously improve processes within your scope of responsibility Identify inefficiencies and implement solutions that create consistency and scale across the
Executive Office Requirements:
Minimum 5 years of executive assistant experience supporting a Founder, CEO, or C-suite executive in a fast-paced, high-output environment Open and flexible availability, including weekends, evenings, holidays, and travel- this role does not operate on a standard schedule Proven experience coordinating private aviation and premium travel logistics Strong working knowledge of social media platforms (lnstagram, X, YouTube, Linkedln, Facebook) and content coordination Outstanding written and verbal communication skills with the ability to represent the executive's voice with precision Demonstrated business acumen
- understands organizational priorities, brand positioning, and executive-level decision-making Proficiency in calendar and project management tools (Google Workspace, Microsoft Office, scheduling platforms) High emotional intelligence with the ability to collaborate across functions and manage up, down, and laterally Impeccable professional presentation and demeanor at all times
