Overview Opal Senior Living is seeking a dynamic and highly organized Senior Living Executive Assistant to support our leadership team in our Cape Coral Corporate Office. Responsibilities Manage complex calendars using Microsoft Outlook Calendar, scheduling appointments, meetings, and events with precision and efficiency. Coordinate a variety of events, including corporate events, staff meetings, and community functions, ensuring all logistics are handled smoothly from planning to execution. Provide comprehensive executive administrative support by preparing correspondence, reports, and presentations with excellent proofreading and transcription skills. Medicaid billing as needed Managing collections Oversee office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records to ensure operational efficiency. Email oversight and management Preparing banking reports Preparing insurance renewals Support project coordination efforts across different communities by tracking deadlines, preparing materials, and ensuring timely completion of tasks. Assist with personal assistant duties for leadership including travel arrangements, personal scheduling, and confidential correspondence. Maintain office supplies inventory and manage front desk operations to create a welcoming environment for visitors and staff alike. Some travel may be required Other duties as assigned Skills Proven experience in executive administrative support within a senior living or healthcare setting is highly preferred. Strong organizational skills with the ability to multitask efficiently in a busy environment. Excellent office management capabilities including filing systems, data entry, and clerical experience. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint),BOX, and office equipment. Demonstrated experience with bookkeeping software like QuickBooks and electronic signature platforms such as DocuSign. Exceptional communication skills with professional phone etiquette and customer service orientation. Ability to proofread documents meticulously and perform transcription accurately. Experience coordinating events from start to finish with attention to detail. Familiarity with project coordination tools and techniques to support team initiatives effectively.
