About the Opportunity Victoria Cummins is seeking a highly organized, proactive, and resourceful Executive Assistant to serve as a trusted extension of the Principal. This is a dynamic, fast-paced role for someone who thrives on managing multiple priorities, solving problems independently, and ensuring every detail is executed with excellence. The Executive Assistant serves as the central point of coordination for schedules, travel, communications, projects, events, and personal matters, allowing the Principal to remain focused on strategic priorities. No two days are the same, making this an exciting opportunity for someone who enjoys variety, ownership, and working in a high-performance environment. Key Responsibilities Manage complex calendars, appointments, meetings, consultations, and scheduling requests. Coordinate all domestic and international travel, including flights, accommodations, transportation, itineraries, and travel logistics. Prepare and manage daily and weekly schedules while ensuring all commitments are executed accurately and on time. Coordinate personal appointments, wellness services, and other personal matters with professionalism and discretion. Serve as the primary communication liaison between the Principal and executives, staff, vendors, clients, and external partners. Manage multiple projects, requests, and priorities simultaneously while ensuring nothing falls through the cracks. Coordinate meetings, private consultations, seminars, special events, and business initiatives from planning through completion. Research vendors, products, services, and purchasing options while gathering pricing, estimates, and recommendations. Track project progress and ensure approved initiatives are completed efficiently. Assist with event planning, logistics, and execution. Coordinate travel preparation, packing logistics, and itinerary management. Work closely with household staff, vendors, contractors, and service providers. Capture photos and videos during travel, meetings, and events as requested. Assist with gathering content for marketing and social media initiatives. Maintain accurate records, reports, project trackers, schedules, and documentation. Prepare daily reports and next-day planning summaries. Handle highly confidential personal, financial, family, travel, and business information with absolute discretion. Qualifications Previous Executive Assistant, Personal Assistant, Operations Coordinator, Project Coordinator, or similar experience preferred. Exceptional organizational and time-management skills. Outstanding computer skills, including proficiency with Microsoft Office, Google Workspace, calendars, spreadsheets, and project management tools. Highly detail-oriented with exceptional follow-through and accuracy. Able to prioritize multiple projects while working efficiently in a fast-paced, constantly changing environment. Strong written and verbal communication skills. Excellent problem-solving skills with the ability to anticipate needs before they arise. Professional, polished, dependable, and adaptable. Comfortable coordinating travel and working flexible hours when business needs require. Willing and able to travel domestically and internationally. Ability to maintain strict confidentiality and professionalism at all times. Work Environment Fast-paced, high-performance environment supporting an active executive.
