The Executive Assistant will support the Chief Executive Officer and Chief Operating Officer by handling a wide range of administrative and strategic tasks. This role requires someone who thrives in a fast-moving environment, can work with minimal supervision, and consistently demonstrates strong judgment, professionalism, and exceptional organizational abilities. The ideal candidate is proactive, adaptable, and capable of balancing multiple priorities while maintaining accuracy and confidentiality. Key Responsibilities Manage complex and active executive calendars, including scheduling, prioritizing appointments, and preventing conflicts. Prepare, submit, and track expense reports. Draft, edit, and manage confidential correspondence and communications. Organize, copy, scan, and maintain documents and digital files. Screen calls, visitors, and incoming communications; manage Outlook contacts. Arrange detailed travel itineraries, agendas, and supporting materials. Anticipate executives' needs and coordinate resources and people in advance. Drive completion of key deliverables and special projects by setting objectives, determining priorities, monitoring progress, and resolving issues. Represent executives professionally by greeting visitors, coordinating company functions, and responding to requests directed to the executive office. Assist in preparing and coordinating leadership meetings, staff meetings, and team off-sites. Maintain strong relationships with external stakeholders and track required communication. Evaluate and refine administrative processes to improve quality and efficiency. Support Board of Directors communications with discretion and accuracy. Participate in professional development opportunities to maintain current industry knowledge. Perform other duties as assigned. Education & Experience Bachelor's degree or associates preferred. Minimum of 3 years supporting C-level executives in a fast-paced setting. Skills & Competencies Exceptional verbal and written communication skills. Demonstrated ability to manage confidential information with professionalism. Strong accountability and a history of achieving results. Excellent organizational and multitasking skills with strong attention to detail. Collaborative mindset with the ability to work independently. Advanced proficiency in Microsoft Word, PowerPoint, and Excel. Comfortable using various technologies, including mobile devices.
