Finlay Plumbing LLC is seeking a dependable, and proactive Executive Assistant to provide direct support to company ownership and help keep day-to-day business operations organized and moving efficiently. This position is ideal for someone who takes initiative, communicates professionally, and manages multiple priorities well. The Executive Assistant will serve as a trusted resource to ownership while coordinating schedules, communications, administrative responsibilities, meetings, documents, and follow-up items across the company. Key Responsibilities Provide direct administrative support to company ownership and leadership. Manage calendars, appointments, meetings, reminders, and scheduling. Monitor priorities and help ensure important tasks, deadlines, and follow-ups are completed. Prepare and organize emails, correspondence, reports, presentations, and company documents. Coordinate meetings, prepare agendas, take notes when needed, and track action items. Assist with communication between ownership, employees, customers, vendors, contractors, and business partners. Maintain organized digital and physical files and company records. Help organize contracts, proposals, project documents, certificates, licenses, and other business documentation. Assist with customer and vendor correspondence and follow-up. Coordinate travel, events, networking commitments, company functions, and community involvement when needed. Assist with purchasing, vendor coordination, expense documentation, and administrative tracking. Support recruiting, onboarding, employee documentation, and other HR-related administrative tasks. Assist with marketing and business-development activities, including networking events, sponsorships, social media coordination, and customer follow-up. Help develop and maintain administrative procedures and systems that improve company organization and efficiency. Handle confidential company, employee, customer, and financial information with discretion. Anticipate the needs of ownership and proactively address administrative issues before they become problems. Assist with special projects and other responsibilities as assigned. Notarize documents as needed. Qualifications Previous experience at plumbing company as an Executive Assistant, Administrative Assistant, Office Manager, or similar role preferred. Excellent organizational and time-management skills. Strong written and verbal communication skills. Ability to prioritize multiple responsibilities and meet deadlines. Strong attention to detail and follow-through. Professional and confident when communicating with customers, employees, vendors, and business partners. Comfortable working independently and taking initiative. Proficient with email, calendars, Microsoft Office, Google Workspace, and general business software. Ability to learn new systems and processes quickly. Experience in plumbing, construction, service trades, or a small-to-medium-sized business is a plus. High level of professionalism, reliability, discretion, and confidentiality.
