Job Description

If so, we're partnering with a well-established and growing organization in Boca Raton to find a highly professional Administrative Coordinator to support executive leadership. This role is the backbone of a collaborative, close-knit team of 50+ employees and will work directly with the President and two Vice Presidents. While the title is Administrative Coordinator, this position functions as a true Executive Assistant, requiring a high level of discretion, organization, and the ability to anticipate needs in a dynamic environment. Key Responsibilities Provide direct administrative support to the President and two Vice Presidents Manage complex calendars, including scheduling meetings and coordinating logistics Arrange and coordinate domestic and international travel (flights, hotels, transportation, itineraries) Prepare and submit expense reports accurately and in a timely manner Handle incoming and outgoing mail, packages, and deliveries Maintain office supply inventory and coordinate ordering as needed Support general office operations and administrative functions Assist with meeting coordination, including preparing materials and conference room setup Serve as a professional point of contact for internal staff and external partners Qualifications 3+ years of administrative experience, preferably supporting executive-level leadership Highly polished, professional demeanor and presentation Strong organizational and time management skills with the ability to manage multiple priorities Excellent verbal and written communication skills High level of discretion and ability to handle confidential information Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Experience with calendar management, travel coordination, and expense reporting Self-starter with a positive, team-oriented mindset Equal Opportunity Employer / Disabled / Protected Veterans The Know Your Rights poster is available here: https://www.eeoc.gov/sites/default/files/2023-06/22-088_EEOC_KnowYourRights6.12.pdf The pay transparency policy is available here: https://www.dol.gov/sites/dolgov/files/ofccp/pdf/pay-transp_%20English_formattedESQA508c.pdf For temporary assignments lasting 13 weeks or longer, AppleOne is pleased to offer major medical, dental, vision, 401k and any statutory sick pay where required.
