Job Description

Duties and Responsibilities Serve as the point of contact for student complaints, concerns and inquiries. Additionally, document said communication as well as routing students and constituents to the appropriate resource for resolution Acting as the administrative point of contact between the executives and the internal/external EWU Community Fielding and receiving calls and routing correspondence as the front line for the VP's office Handling Vice President requests and queries appropriately Maintain a schedule, arrange meetings, make travel arrangements and appointments Take dictation and minutes and accurately enter data Monitor office supplies and research advantageous deals or suppliers Gather information for each special event and project and ensure that collected data is consistent Negotiate vendors for space and venue Propose ideas to staff with a view to improve event planning and implementation processes Coordinate the setup and teardown of events including décor, stage and dance floors Ensure that proper furniture is procured keeping in mind the individual theme of the event Prepare materials and reports for Cabinet Meetings, Board Meetings, and Weekly Staff Meetings Ensure that a proper rehearsal has been arranged prior to the time of the event Manage and track event expenses and ensure that all financial details are appropriately recorded Perform other duties as assigned or required Assist all departments within the division with administrative paperwork tracking throughout the university offices. Required Experience & Skills Excellent writing and communication skills Proficiency in data collection, budgeting, and conflict resolution Proven experience as an executive administrative assistant, senior executive assistant or in a similar secretarial position Complete comprehension of office management systems and procedures Excellent knowledge of MS Office Proficiency in English Exemplary planning and time management skills Up-to-date with advancements in office gadgets and applications Ability to multitask and prioritize daily workload Discretion and confidentiality Minimum Education Required Bachelor's Degree Additional qualification as a personal assistant would be considered an advantage
