This is a key role within the business, providing high-level administrative and operational support to senior leadership while helping drive efficiency across sales, charter, and day-to-day company operations. The successful candidate will be detail-oriented, discreet, and capable of managing multiple priorities in a fast-paced luxury environment. This position requires professionalism, exceptional communication skills, and the ability to anticipate needs while maintaining the highest standards of service and organization. Candidates must be based locally in South Florida and available to work from our Miami office. Key Responsibilities Provide direct administrative support to senior leadership and brokerage team Manage calendars, meetings, travel arrangements, and daily scheduling priorities Prepare client presentations, proposals, sales materials, and charter brochures Coordinate internal communications and ensure efficient workflow across departments Support the management and upkeep of yacht sales and charter listings across platforms Handle inbound sales and charter enquiries, ensuring prompt and professional responses Manage the main sales phone line and direct calls appropriately Maintain and update internal CRM systems (HubSpot) with accuracy Assist brokers with active deals, charter bookings, and client requests Conduct research on yachts, market trends, vendors, and client opportunities Prepare reports, spreadsheets, and administrative documents as required Assist with boat shows, client events, open houses, and company activations Must be willing to work weekends when required for key events, client engagements, and boat shows Support special projects and operational initiatives as the company continues to grow Experience & Skills Bachelor's degree preferred in Business, Marketing, Communications, Hospitality, or related field Minimum of 5 years of administrative experience, preferably supporting high-profile or luxury clients Experience in the marine or yachting industry is preferred Strong understanding of client service within a luxury environment Excellent written, verbal, and interpersonal communication skills Highly organized with exceptional attention to detail Ability to multitask and thrive under pressure in a fast-paced environment Strong proficiency in Microsoft Office and Google Workspace Familiarity with CRM systems such as HubSpot preferred Professional demeanor with strong client-facing instincts Ability to maintain discretion and confidentiality at all times Personal Attributes Polished, professional, and service-oriented Highly proactive with strong problem-solving instincts Calm under pressure and adaptable to changing priorities Strong team player with a collaborative mindset Detail-oriented with a solutions-focused approach Positive attitude with a strong work ethic Passion for luxury, travel, hospitality, or yachting industries is a plus Why Join Kitson Yachts?
