Executive Administrative Assistant - ABA Healthcare Operations Sunny Days Early Intervention Center Orlando, FL Job Details Full-time $20 - $30 an hour 9 hours ago Benefits Health insurance Qualifications Growing experience Teamwork Executive administrative support Attention to detail Organizational skills Full Job Description About the Position Sunny Days Early Intervention Center is looking for an exceptional Administrative Assistant to our Founder to become an important part of our growing team. This is a unique hybrid position supporting both the administrative operations of Sunny Days and the center's Founder directly. We are looking for someone who can become a trusted administrative right hand—someone exceptionally organized, proactive, resourceful, comfortable with healthcare insurance processes, and willing to jump between very different types of tasks throughout the day. Some days you may be working with an insurance company to obtain an authorization for a child's ABA assessment. An hour later, you may be coordinating a meeting, making a reservation, organizing paperwork, following up with a parent, ordering something for the center, or handling something the Founder simply needs taken off her plate. This position is best suited for someone who genuinely enjoys being the person who keeps everything organized, follows through without being reminded, and takes satisfaction in making someone else's very busy day run smoothly. What You'll Do .......Healthcare & Sunny Days Administration A significant part of this position will involve supporting the administrative side of our pediatric ABA center, including: Verify insurance eligibility and ABA benefits Obtain and track prior authorizations, including initial ABA assessment authorizations Work with commercial insurance companies such as Florida Blue, Cigna/Evernorth, Aetna and UnitedHealthcare/Optum Navigate Availity and other insurance/provider portals Track authorization numbers, approved units, effective dates, expirations and renewals Confirm provider/network information when necessary Gather insurance cards, diagnostic evaluations, referrals and other required documentation from families Communicate with insurance companies regarding benefits and authorization issues Coordinate with our BCBA/Clinical Director when clinical information is required for an authorization Work closely with our billing team to ensure services are properly authorized and information is complete Maintain accurate information in our practice-management and administrative systems Assist with new-family intake and scheduling Communicate warmly and professionally with parents Keep administrative processes organized and moving forward Assist with general office needs as they arise You will not be expected to be our medical biller. We have billing support. However, you will play an important role in the front end of the insurance process, particularly benefits verification, prior authorizations, documentation and follow-up. Supporting the Founder This position will also work directly with the Founder of Sunny Days and will include executive and personal-assistant responsibilities.
These may include:
Calendar and appointment management Scheduling meetings and coordinating appointments Making reservations Travel planning and coordination Managing reminders and follow-ups Organizing documents and information Assisting with correspondence Researching and coordinating purchases or services Running occasional local errands Keeping track of projects, deadlines and outstanding items Helping coordinate events, meetings and community activities Handling miscellaneous business and personal administrative tasks Taking ownership of delegated tasks and seeing them through to completion The nature of this role means responsibilities will vary from day to day. Experience in any of the following would be especially valuable: ABA or behavioral health Pediatric therapy Medical office administration Insurance verification Prior authorizations Revenue-cycle support Availity or other insurance portals Commercial insurance ABA CPT codes such as 97151, 97153, 97155 and 97156 Executive or personal-assistant work Previous ABA insurance and authorization experience would be a major plus. You do not need to know everything on day one. You do need to be someone who learns quickly, asks good questions, takes notes, creates systems and doesn't need to be reminded five times to finish something. About Sunny Days Sunny Days Early Intervention Center is a growing pediatric ABA center located in the MetroWest area of Orlando. We are intentionally building a smaller, collaborative organization where families feel welcome, children are treated as individuals, and team members genuinely know and support one another. Because we are growing, this is also an opportunity to come in early and help us build strong administrative systems rather than simply stepping into a rigid corporate structure. We want someone who will eventually know the administrative side of Sunny Days inside and out—and who takes pride in helping the organization run well. Schedule Full-time, Monday-Friday This is primarily an on-site position at our MetroWest Orlando center. Some flexibility may occasionally be needed based on the needs of the center or Founder. Compensation $25-$30 per hour, depending on experience. Candidates with significant experience in ABA, healthcare insurance, prior authorizations, or executive administrative support may be considered at the higher end of the range.
