Job Summary We are seeking a highly organized and detail-oriented Legal Executive Assistant to support our managing attorney in a fast-paced, dynamic environment. This vital role provides comprehensive executive and administrative support to the managing attorney, including owning his calendar, managing his inbox, serving as a trusted point of contact for clients, and making sure nothing falls through the cracks. The ideal candidate will possess exceptional organizational judgment, polished written and verbal communication skills, and the ability to handle privileged and confidential information with professionalism and discretion. Responsibilities Manage a complex calendar end to end, including client meetings, internal meetings, CLE, and personal commitments, resolving conflicts and reprioritizing proactively. Monitor and triage the managing attorney's inbox, flagging what needs his attention and handling or routing the rest. Draft professional correspondence and emails for review and signature, maintaining the attorney's voice and standards. Screen calls and visitors, take detailed and actionable messages, and serve as a responsive point of contact for clients. Coordinate meetings with clients and external stakeholders; prepare agendas and materials in advance, take detailed notes or minutes, and track action items to completion. Maintain accurate, organized electronic files in the firm's document management system so correspondence and documents are always retrievable. Assist the managing attorney with daily time entry and review prebills for accuracy. Track and manage bar dues, CLE requirements and registrations, and license renewals. Maintain client contact records and relationship history, including follow-up notes and firm courtesies. Exercise sound judgment about what requires the attorney's attention and what can be resolved independently. Experience Proven experience as an executive assistant supporting a senior attorney, partner, or executive. Prior law firm experience is required. Excellent organizational skills with the ability to prioritize competing demands in a fast-moving environment. Strong critical thinking and problem-solving skills, with the ability to anticipate needs, work through issues independently, and make sound decisions without step-by-step direction. Exceptional written and verbal communication skills; experience drafting professional correspondence on behalf of an executive is highly valued. Demonstrated discretion in handling confidential and privileged information. Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and comfort learning legal practice management software; experience with Clio or a similar platform is a plus.
