The ideal candidate is personable, detail-oriented, comfortable working in a fast-paced environment, and capable of managing multiple administrative responsibilities efficiently. Responsibilities Stay on top of the CEO's emails daily, respond to or route messages as needed, and ensure important communications are followed up on promptly. Follow up on customer orders to ensure they are processed, updated, and completed in a timely manner. Communicate with customers regarding order status, missing information, delays, or other order-related matters. Coordinate and assist with company meetings, conferences, appointments, and special events. Perform data entry, filing, recordkeeping, and document proofreading. Prepare and process invoices using QuickBooks . Maintain and complete company need lists, purchasing lists, and other internal records. Utilize Microsoft Word, Excel, and Outlook for daily administrative tasks. Organize and maintain electronic and physical files. Greet clients, customers, vendors, and visitors in a professional and welcoming manner. Answer and direct phone calls and assist with general office correspondence. Assist management and other team members with day-to-day administrative needs. Help ensure the office remains organized and operates efficiently. Handle additional administrative tasks as assigned. Qualifications High school diploma or GED required. Previous experience in an administrative assistant, office assistant, or office management role preferred. Bilingual in English and Spanish preferred. Must have a reliable vehicle and valid driver's license . Minimum typing speed of 40 WPM . Strong attention to detail and accuracy. Excellent organizational and time-management skills. Ability to multitask and prioritize responsibilities in a fast-paced environment. Strong written and verbal communication skills. Proficiency in Microsoft Office, including Word, Excel, and Outlook . Experience with QuickBooks required. Professional, dependable, and personable demeanor.
