Job Description

About the Position Brannon Brothers Concrete is seeking a highly organized, dependable, and proactive Executive Assistant to work directly with the CEO. This is not a traditional receptionist or basic administrative position. We are looking for someone who can become the CEO's right hand—helping manage a fast-moving schedule, keeping priorities organized, following up on commitments, coordinating communication, and making sure important tasks don't fall through the cracks. The right person will be comfortable working closely with the CEO and communicating with company leadership, employees, customers, vendors, and other business contacts. This position requires someone who can anticipate needs instead of always waiting to be told what to do.
Responsibilities The Executive Assistant will:
Manage and organize the CEO's calendar, appointments, meetings, and schedule. Keep track of commitments, deadlines, follow-ups, and action items. Help prioritize the CEO's daily and weekly responsibilities. Schedule meetings and coordinate with employees, customers, vendors, and outside business contacts. Prepare the CEO for meetings by organizing relevant information, documents, and outstanding items. Take notes during meetings when needed and turn discussions into clear action items. Follow up with team members to make sure assigned items are completed. Draft and organize emails, letters, documents, and other correspondence. Assist with travel planning, reservations, itineraries, and scheduling. Organize files, records, contact information, and important documents. Help coordinate communication between the CEO and company leadership. Assist with occasional personal scheduling, appointments, reservations, errands, or other tasks that allow the CEO to remain focused on running the business. Identify scheduling conflicts, forgotten commitments, and unfinished tasks before they become problems. Maintain a high level of confidentiality regarding company and personal information. What We're Looking For We're looking for someone who is: Extremely organized. You should naturally keep track of details and notice when something is being forgotten. Proactive. If you see something that needs to happen, you take initiative rather than waiting for instructions. Dependable. If you say something will be handled, it gets handled. Confident. You'll need to communicate professionally with executives, customers, employees, vendors, and business owners. Comfortable with technology. You should be able to learn and use calendars, email, Microsoft Office/Google Workspace, AI tools, project-management software, and other business systems. A strong communicator. Clear written and verbal communication is important. Able to handle a fast-moving environment. Priorities can change quickly, and you need to be able to reorganize without becoming overwhelmed. Discreet. This position will have access to confidential business and personal information, so trustworthiness is essential. Preferred Experience Previous experience as an Executive Assistant, Executive Administrator, Office Manager, Administrative Manager, Project Coordinator, Operations Coordinator, or similar position is preferred. Construction experience is helpful but not required . More important than construction experience is finding someone who is intelligent, organized, resourceful, trustworthy, and capable of learning how the CEO and company operate. What Success Looks Like Success in this position means the CEO spends less time worrying about scheduling, remembering follow-ups, tracking down information, coordinating meetings, and handling administrative details—and more time focused on leadership, business development, customers, financial decisions, and growing the company. You should eventually know the CEO's schedule, priorities, commitments, and working style well enough to anticipate what needs to happen next. This position has the potential to grow significantly as the company grows.
