Job Description
Description We are looking for an Executive Assistant to provide high-level support to senior leaders within a fast-paced real estate property and facilities management environment. This contract opportunity is ideal for someone who excels at keeping schedules organized, communications clear and accurate, and day-to-day operations running smoothly. The person in this role will balance executive support with office coordination, helping leaders stay focused while ensuring administrative and workplace needs are handled efficiently.
Responsibilities:
- Manage complex calendars for senior executives, coordinating appointments and resolving scheduling conflicts with strong attention to priorities and timing.
- Arrange domestic travel plans, prepare detailed itineraries, and confirm logistics to support efficient business trips.
- Organize internal and external meetings by securing schedules, preparing agendas, and assembling supporting materials for participants.
- Process and track expense submissions accurately and in a timely manner.
- Provide administrative support for special projects, ensuring follow-up items, documents, and deadlines remain on track.
- Offer proactive assistance to executives and broader team members, stepping in where needed to support daily business operations.
- Help plan workplace events such as team lunches, holiday gatherings, and other office activities.
- Serve as a point of contact for building-related needs, including visitor access coordination, service requests, and office notifications.
- Oversee front-office administrative tasks such as assigning visitor workspace, distributing incoming mail and packages, and maintaining office and breakroom supplies. Requirements
- Demonstrated experience supporting executives in an administrative or executive assistant capacity.
- Strong calendar management skills with the ability to coordinate multiple priorities and changing schedules.
- Proven ability to book and manage domestic travel arrangements with accuracy and attention to detail.
- Experience organizing executive meetings, including preparation of agendas and meeting materials.
- Proficiency in handling expense reporting and general administrative documentation.
- Excellent written and verbal communication skills, with a detail-oriented approach to internal and external interactions.
- Strong organizational skills and the ability to manage confidential information with discretion.
