Job Description

We are seeking a dependable and organized Executive Assistant / Administrative Assistant to support company leadership and the day-to-day operations of a growing construction, real estate, and property management business.

The ideal candidate will have previous experience as an Executive Assistant, Secretary, Administrative Assistant, Office Manager, or similar role, preferably within construction, real estate, property management, or a related industry.

ResponsibilitiesProvide administrative support to company leadership.

Manage calls, emails, calendars, appointments, and follow-ups.

Maintain organized files, contracts, records, and company documents.

Assist with construction projects, permits, inspections, and related paperwork.

Assist with property management, including tenant communication, leases, renewals, and maintenance coordination.

Assist with real estate transaction paperwork and documentation.

Coordinate with contractors, vendors, tenants, clients, and government offices.

Assist with mortgage/loan documentation and follow up on missing information.

Track licenses, renewals, deadlines, and important company dates.

Prepare documents, spreadsheets, letters, notices, and other correspondence.

Handle confidential company, client, tenant, and financial information.

Perform other administrative duties as needed.

QualificationsPrevious experience as an Executive Assistant, Secretary, Administrative Assistant, Office Manager, or similar position.

Experience in construction, real estate, property management, or mortgage administration is strongly preferred.

Strong organizational and time-management skills.

Excellent written and verbal communication.

Strong attention to detail and follow-through.

Proficient with Microsoft Office and/or Google Workspace.

Able to manage multiple priorities and work independently.

Professional and comfortable communicating with clients, tenants, contractors, vendors, and government offices.

Valid driver's license required.
