Job Description

Executive Assistant Mighty Loud Entertainment is seeking an experienced, highly organized Executive Assistant to work directly with senior executives and a small, close-knit team. This is an in-office position for someone who thrives in a fast-paced environment, can manage a demanding schedule, and is comfortable taking ownership of a lot of moving pieces at once. The right person is proactive, confident, upbeat, and highly organized. You don't wait to be told what needs to happen next, you follow up, make the call, get the answer, and keep things moving. Key Responsibilities Manage executive email and communication by prioritizing messages, preparing responses, gathering information, and ensuring important items are handled promptly and professionally. Manage complex calendars, including meetings, calls, appointments, scheduling changes, cancellations, and rebookings. Book and manage extensive travel for executives and band members, including flights, accommodations, rental cars, ground transportation, itineraries, and last-minute changes. Stay ahead of the executive by tracking commitments, deadlines, follow-ups, and details requiring attention. Anticipate needs and take action without always being asked. Make and manage calls with clients, vendors, venues, artists, partners, and other third parties. Be confident, professional, and persistent when getting answers and moving things forward. Coordinate multiple projects and priorities with a small, close-knit team and outside vendors, keeping deadlines and details on track. Build sponsor decks, presentations, proposals, spreadsheets, and other professional business materials. Create and maintain organized documentation, files, records, schedules, and project information. Build and maintain relationships with vendors, partners, clients, artists, and other third parties. Review and organize contracts, agreements, riders, and related documents. Music, entertainment, event production, or artist-management experience is a plus. Handle confidential information with discretion and maintain a positive, professional attitude in a fast-paced and sometimes stressful environment. Schedule This role requires flexibility for occasional early calls, late requests, weekend communication, and last-minute changes when needed. About Mighty Loud Entertainment Mighty Loud Entertainment provides brand consultation, event planning, production, and marketing for major national brands and organizations. Mighty Loud also created, owns, and operates MIXER, a proprietary cloud-based software application that drives incentives, loyalty, and sweepstakes, used extensively across the Harley-Davidson dealer network and the broadcast radio industry.
