Job Description

Overview We are seeking a dynamic and highly organized Executive Assistant to join our team! In this vital role, you will serve as a key support to senior leadership. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced electrical contracting and construction environment. This role requires strong initiative, critical thinking, discretion, strong communication skills, and the ability to work independently while maintaining close alignment with executive leadership. Your proactive approach and exceptional organizational skills will help drive productivity and foster a professional, efficient work environment. Responsibilities Work closely with executive management, operations, accounting, project management providing strong support and attention to detail Prepare, proofread, and edit correspondence, reports, and presentations using Microsoft Office Suite, including Word and Excel spreadsheets Organize and maintain filing systems—both digital and physical—to ensure quick retrieval of documents Assist with accounting data entry tasks, tracking expenses, and maintaining accurate records in software platforms such as Sage 50 and productivity tools Support office management activities, including supply ordering Manage new and existing subcontractors ensuring COI and other required forms are received and updated Support project management submitting work orders for approval, apply for permits, and assist with administrative tasks Provide exceptional customer service by addressing client inquiries promptly via phone or email, ensuring positive interactions at all times Track employee safety training, set up new employees for safety training; create a spreadsheet to track employees Coordinate travel arrangements, including booking accommodations Maintain document filing systems and office organization. Skills Proven experience as an executive assistant or in a similar administrative role with office management responsibilities Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), spreadsheets, and data entry software Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Exceptional communication skills—both verbal and written—with a focus on phone etiquette and client interaction Experience with accounting software is a plus for managing financial records accurately Demonstrated ability to handle confidential information discreetly and professionally Time management skills that enable efficient handling of multiple responsibilities simultaneously Personal assistant experience or previous front desk roles that involved customer support and client communication Join us as an Executive Assistant to be part of a vibrant team dedicated to operational excellence! Pay:
$65,000.00 - $73,000.00 per year
