Executive Assistant & Client RelationsJob Overview We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our leadership team and help keep both our people and priorities moving forward. This is much more than a traditional administrative position. We are looking for someone who naturally sees what needs to be done, follows through on details, keeps track of open items, and is comfortable helping hold leadership accountable to deadlines and commitments. Our leadership team moves quickly, manages many different priorities at once, and often has multiple projects happening simultaneously. The right person will help bring structure to that environment by keeping us organized, reminding us of what needs attention, following up when things are still outstanding, and stepping in to take tasks off our plate whenever possible. We want someone who doesn't simply wait to be given a task. We are looking for a person who can look at an email, conversation, calendar, project, or situation and think, "I can handle that," "This needs follow-up," or "We need to make sure this doesn't fall through the cracks." This position will initially be part-time and in-office , with the opportunity to grow into a full-time role as responsibilities expand. Responsibilities Serve as an organizational and accountability partner to senior leadership, helping ensure priorities, commitments, deadlines, and follow-up items do not fall through the cracks. Maintain an ongoing system for tracking leadership tasks, open items, deadlines, projects, and commitments. Regularly follow up with leadership regarding outstanding tasks, decisions, appointments, documents, calls, and other responsibilities. Help prioritize what needs attention each day and week and proactively bring important or time-sensitive items to leadership's attention. Review and help manage executive email inboxes, identifying messages that require action, follow-up, scheduling, delegation, or response. Proactively identify emails, requests, and administrative tasks that can be handled independently to reduce the workload on leadership. Draft responses, gather information, organize documents, schedule appointments, and complete follow-up whenever possible rather than simply forwarding tasks back to leadership. Anticipate upcoming needs based on calendars, meetings, client appointments, events, deadlines, and ongoing projects. Manage calendars, appointments, meetings, reminders, and scheduling to help leadership use their time effectively. Prepare leadership for upcoming meetings and appointments by making sure necessary documents, information, materials, and follow-up items are ready in advance. Track action items that come out of meetings and conversations and ensure the appropriate person follows through. Help coordinate projects from beginning to completion, including keeping track of next steps, deadlines, responsible parties, and outstanding information. Communicate with clients, vendors, carriers, professional partners, and team members by phone and email in a warm and professional manner. Assist with client follow-up and help ensure promised information, documents, calls, or next steps are completed. Prepare, proofread, organize, and process correspondence, reports, presentations, spreadsheets, forms, and other business documents. Maintain organized digital and physical filing systems so information can be found quickly and easily. Assist with basic QuickBooks, expense, receipt, vendor, and record-keeping tasks as needed. Coordinate travel arrangements, events, meetings, seminars, and other business activities. Monitor office needs, supplies, vendors, and day-to-day operational details. Greet visitors and help create a welcoming, professional experience for clients and guests. Assist with special projects and be willing to jump in wherever needed to help the business and leadership team operate more efficiently. Takes ownership and follows things through to completion. Can work independently without needing constant direction. Is comfortable asking questions, speaking up, reminding leadership, and respectfully pushing for decisions when necessary. Enjoys creating order out of a busy environment. Qualifications Previous experience as an Executive Assistant, Personal Assistant, Office Manager, Administrative Assistant, Project Coordinator, or similar role is strongly preferred. Exceptional organizational and follow-through skills. Strong ability to prioritize multiple responsibilities and keep track of many moving pieces simultaneously. Excellent written and verbal communication skills. Strong judgment and ability to determine when to handle something independently and when leadership needs to be involved. High level of discretion and professionalism when handling confidential client, business, financial, and personal information. Comfortable working with email, calendars, spreadsheets, cloud-based documents, CRM systems, and other business technology. Proficiency with Microsoft Office and/or Google Workspace. Experience with QuickBooks or similar accounting software is helpful but not required. Strong interpersonal skills and the ability to communicate professionally with clients, vendors, team members, and professional partners. Ability to work primarily in-office. A proactive, solutions-oriented personality with a genuine desire to make the people around you more effective.
